Using Visitor Alerts, And Why They Are Important During Visitor Registration

Using alerts as part of a visitor system is an important aspect of managing visitors at any facility.

A lobby system should be able to create alerts simply and easily. Alerts can be used for a number of different reasons such as notifying either administrators, security officers or lobby attendants when they should take some action based on visitor activity.

For example, you may want the lobby attendant to know when to notify a contractor that they need to comply with a drug test policy, or take a safety exam, or complete an application or meet other requirements.

You establish the rules and our visitor management software takes care of the notification when a visitor is checked in or when an event occurs.

Another example of an event might a visitor badge that has expired but that visitor has not yet checked out. You may want to know about that particular situation so that you can investigate why a visitor is still onsite longer than expected.

Some of the other common alerts in our visitor software include the following:

Maximum Visitor Alert. This notifies the attendant when the maximum number of visitors for a host has been reached. In hospitals and Healthcare facilities this can be used to restrict the number of visitors allowed for specific patients.

Frequent Visitor Alert. This notifies the lobby attendant that a visitor has reached a specific number of visits. This can be used when a contractor needs to complete additional training or meet other requirements after a certain number of visits.

Time Based Alerts. These alerts notify the attendant when someone has visited after a specific number of days, and the required action to take. For example, you may want to inform a visitor that they must sign a non-disclosure agreement after a certain time.

Arriving Visitor Alert. This alert automatically notifies an employee when a visitor has arrived and is waiting in the lobby.

Programmable Alerts. This a a range of values that can be included in the visitor registration system that can be assigned to various actions. For example, when a lobby attendant has provided a proximity card to a guest so that they can access certain doors controlled by their access system, you want to be sure that the lobby attendant knows to ask that visitor to return the prox card during check out. An alert can notify the lobby attendant of those situations.

Any of these alerts can be used to improve lobby management during guest sign in. They allow you to manage guests more effectively.

Many K-12 schools use visitor registration software to both improve security and to manage visitors more professionally and efficiently.

Screening visitors who may be listed on a states' sex offender database is one driving force for K-12 schools to use visitor software. During guest check in, if a visitor is listed as a registered sex offender, a warning will alert the lobby attendant within seconds and an automatic email or text alert can be sent to school administrators.

Because of this feature alone, many schools have done away with a paper guest book for visitor sign in and replaced it with a professional and secure approach to visitor registration.

When using a visitor system, all guests entering the school would be required to present a visitor ID such as a driver's license. The license is scanned to capture the guest information, including the photograph, and it is used to create a professional visitor badge.

Using Barcodes with Visitor Badges

Our badge software allows you to easily design badge templates that include barcodes, in addition to whatever other information you consider important.

Barcodes offer a number of advantages that assist with managing visitors professionally in your facilities.

For instance, barcodes let you quickly scan a visitor pass to automatically check out a guest that is leaving a building. This is especially beneficial in a busy lobby or when you don't want to delay a guest when they are exiting the building.

A barcode on a visitor ID badge allows the lobby attendant to simply scan the badge and the visitor is checked out. No other action is required.

It's also beneficial to include barcodes on visitor passes assigned to frequent visitors. You can grant these visitors a permanent badge that can be scanned during guest sign in when they re-enter the facility. The EasyLobby visitor system will recognize the barcode and check them in.

Using Your Visitor System for Time and Attendance

One of the benefits of using EasyLobby badge software is that the same system you use for visitor registration can also be used to track the time and attendance of employees, contractors, volunteers, or any other personnel.

It's a relatively easy process to use your visitor management software for time and attendance.
 
All you need to do is to import all the employee names into the EasyLobby visitor software. There are several ways to accomplish this step. Contact our technical support center if you need assistance with this at support@easylobby.com.

You then design an ID badge template that includes a barcode for all those you wish to record the time and attendance. The barcode will be used to scan them in and out of the facility.

Or  you can provide them with a proximity card which, when used in conjunction with EasyLobby's access control integration, will allow those individuals access to locked doors, elevators or turnstiles controlled by the access system.

The time that the employee or guest is onsite is then recorded in the EasyLobby electronic visitor management system. You are able to either access a report with the details of check in and check out times, or you can export the data using a variety of formats into other systems.

Programmable alerts may sound complicated - as if you need to understand how to program or write software. But that's hardly the case. In fact they are very easy to incorporate into your EasyLobby visitor system.

This visitor software feature adds a great deal of flexibility to managing visitors.

Programmable alerts can be used in conjunction with issuing visitor badges during visitor registration. They permit you to assign a specific value to visitor action during guest sign in, and to automatically notify your lobby attendants that a specific action should take place.

There's a whole range of values and corresponding actions that you can assign. But the real benefit of this badge software feature depends on how you use it in your environment. Here's one example, but keep in mind that you can use it in much different scenarios.

In this example let's say you have four different areas in your building that visitors are allowed access. Each area is defined as a 'clearance' in one of the lobby system fields. One of these areas, let's call it the manufacturing area, has a requirement that all visitors must wear a hard hat for safety reasons.

In the alert menu of the visitor registration system you can include a message that reads, "Must wear hard hat" or some other words to that effect. One of the more interesting and powerful features in the latest version of EasyLobby visitor software is rules-based approval. It's part of the web-based software that allows employees to pre-register visitors.

The capability provides administrators with a great deal of flexibility in deciding the approval process for visitors that are pre-registered by employees.

It's this type of flexibility that allows EasyLobby visitor registration software to be customized for your specific requirements.

Our pre-registration software for employees is called eAdvance. It's one of the options of our Secure Visitor Management (SVM) main application software. eAdvance allows employees to pre-register guests they know will be arriving, alleviating congestion at the front desk by having the guest information already complete.

The rules-based feature allows you to decide how those pre-registered guests are approved by others in the organization, and what those rules are.

Among the visitor system rules that you can choose to establish are:
  • The person or persons who need to approve a visitor badge being issued to a pre-registered guest.
  • Any specific category of visitors that need to be approved for entry.
  • Whether any of the user-defined fields are subject to specific approvals before a visitor pass is issued to that guest.
An example of this rules-based approval is a pre-registered guest who is a contractor and does not have self-insured documentation on file. In this case, a user defined field has been checked concerning the self-insured documentation for contractors. You can apply a rule that when this occurs, a specific person needs to approve this contractor for entry.

You can see by this degree of customization that it provides you with a great deal of control over how you are managing visitors and approving them for entry.

Let's look at another specific example as a comparison. You may want to apply a rule for pre-registered visitors who are a foreign national and they do not have passport identification. As in the previous example, you can apply a visitor registration rule specifying the approval process that is required.

You can see by these brief examples that the rules can be varied and can cover many different circumstances for the approval of pre-registered visitors. Depending on your needs and concerns, it allows you to better manage guest sign in and decide who and when these guests will be approved for entry.

Healthcare Facilities Depend on EasyLobby Badge Software

Hospitals and healthcare facilities are primary examples of organizations that depend on visitor systems to improve lobby management and enhance visitor security.

A case in point is the Connecticut Children's Medical Center, which is one of the many hospitals using visitor registration to improve how they are managing visitors.

Connecticut Children's began their search in 2004 to improve their existing system for visitor management. Their system had consisted of color-coded plastic badges and paper guest sign in sheets, which was an extremely cumbersome process.

Connecticut Children's Medical Center uses watch lists in the visitor registration system to flag unwanted visitors. They also use email alerts to receive notifications on specific visitor behavior, such as a visitor badge that has expired but the guest has not checked out.

Hospital administrators have explained that they particularly like the flexibility and expandability of the EasyLobby visitor management software.

Subsequent to the installation of the EasyLobby system a leading security consultant audited the medical center and said that Connecticut Children's may be among the most secure Children's Hospitals in the U.S.
