How to Avoid the Problems of Using a Paper Guest Book for Visitors

Wednesday, May 2, 2012 by John Murzycki

VisitRegistration System

We are frequently asked about the risks associated with using a paper guest book for visitor sign in.

Frankly, it's our opinion that guest sign in should be conducted with professional visitor management software. The reason is that paper methods of visitor registration are simply unprofessional and provide little security.

They also pose a number of other problems, such as the following.

Names written in a paper guest book are often not legible, or are false.

In an emergency such as a fire it would be impossible to quickly determine who is still in the building. It's difficult to read the names and often check out times are not required or enforced.

Information regarding who has visited the company is readily available for everyone to see, but this information should be confidential.

The paper visitor log and hand written visitor badges present a poor image of the company as unprofessional and not caring about security.

Unlike the paper methods, EasyLobby ID card software is an effective way of managing visitors in any environment.

You can create a visitor pass easily and quickly. Furthermore, you can capture  accurate, detailed visitor information automatically by scanning a visitor ID such as a driver's license or business card.

Unlike a paper guest book, badge software keeps all visitor information confidential.

A variety of alerts can be created in our visitor system, allowing you to take action based on specific visitor behavior.

The creation of watch lists allow you to keep unwanted visitors out of your facilities.

The fact is, EasyLobby visitor software has a a host of features that allow you to customize it to fit your specific needs and requirements for lobby management.

What You Should Know About Badge Software for Government Facilities

Thursday, April 5, 2012 by John Murzycki

Visitor Tracking Software in Government Facilities

Government organizations generally require a high level of visitor security and professionalism offered by visitor software.

That's why EasyLobby visitor systems are used by many Federal, State and Local government agencies, including many military and defense installations around the world.

By identifying each and every visitor to their facility and providing them with a visitor badge, these organizations can track exactly who has entered the building, the purpose of their visit and who they were visiting.

Reliability and ease of use of the visitor system is frequently a necessary component. But just as important is the ability of the system to accommodate their specific requirements for managing visitors.

A few of the common ways EasyLobby visitor registration supports specific government requirements include:

  • Real-time, online screening of Government Denied Party Database, consisting of over 50 different government watch lists.
  • The ability to read and process Personal Identity Verification (PIV) Cards
  • Scanning and processing the Transportation Worker Identification Credential (TWIC) cards with an OCR scan.
  • Read and process CAC cards with 2D barcodes.

It's clear that government agencies can benefit from the use of ID card software in their facilities.

Find out more about the use of visitor badges in government environments by registering for a free, customized online web demo.

In about 30 minutes we will demonstrate the features of our software that meets your specific requirements.

Visitor Systems for Multi-Tenant Facilities

Friday, February 24, 2012 by John Murzycki

Many multi-tenant facilities use visitor registration software to improve security and enhance the professionalism of managing visitors at their facilities.

Both residential and commercial multl-tenant buildings can benefit from visitor software to enable facility managers to identify and  know exactly who is visiting the building, who they are visiting, the purpose of their visit, and when they checked in and out.

Much like other types of facilities or other industries, badge software has specific benefits to the multi-tenant building.

Visitor tracking software can work smoothly and easily with a variety of different tenants in the building.

Used at some of the largest multi-tenant buildings in the country, EasyLobby ID card software improves visitor security and lobby management at these facilities, and enhances their image as a professional, well-run facility.

Regardless of the size of the facility, EasyLobby visitor registration can be used to improve the guest sign in process.

Our electronic visitor management system can be used to customize badge templates, allowing administrators to customize badge designs. Visitors to a particular organization in a commercial facility will receive a visitor badge that is customized to that organization. These unique visitor badges can include the tenants logo, company name, floor number, and any other specific information that is necessary.

Many multi-tenant properties also use our visitor system to track delivery of packages and other assets that are delivered to or loaned out from the front desk.

An added benefit of our software is that individual tenants can pre-register guests that they know will be arriving, simplifying visitor sign in. In some cases the pre-registration is a requirement of check in.

Like other types of facilities using our visitor registration system, our software captures visitor data from a driver's license, business card, or passport scan, including capturing the visitor's photo.

Read the EasyLobby success story of our visitor management software at use in a residential multi-tenant property at Plaza South Condominiums in Fort Lauderdale.

For a commercial multi-tenant environment, read about our installation at One Gateway Center.

Food Distribution Facilities Use Visitor Tracking Software

Thursday, February 16, 2012 by John Murzycki

Badge ID Software in the Food Distribution Industry

Food distributors are required to monitor and track all visitors who enter their facilities. These requirements are the result of FDA regulations on the protection of the nation's food supply under the Bio-Terrorism Rule.

Consequently, many food distribution companies use EasyLobby visitor software to closely monitor and keep accurate records of every truck and driver entering their facilities.

At many of these organizations our visitor systems are used at both corporate and the distribution facilities. In corporate buildings our visitor registration software provides a professional approach to managing visitors. In distribution facilities, our systems monitor the arrival and departure of trucks and drivers.

By being able to control access to their facilities our ID card software plays a major role in helping food distribution companies effectively comply with these regulations. They are able to record and report on all guest sign in activity and record the individuals and vehicles that have entered and left the facility.

A visitor log in our software records all this activity, plus any additional information that may be relevant to that facility or organization.

An added benefit is a reduction in costs. By monitoring the exact arrival and departure of each truck, these organizations are able to often dramatically reduce detention fees typically charged by third-party shippers for drivers that were delayed at the facility.

By using visitor registration these facilities are able to challenge any unwarranted detention fees.

Read our case study about how EasyLobby visitor management has helped a national food distributor.

Visitor Software Helps Your Organization Comply With Various State and Federal Regulations

Thursday, February 9, 2012 by John Murzycki

Complying with Regulartions and Monitoring Visitor ID

One of the many benefits of using a visitor system is that it allows you to comply with various state and federal regulations. This is something that is often overlooked when considering the use of visitor registration software at facilities.

Keep in mind that using badge software to create professional visitor badges is an important element of managing visitors and enhancing overall security. It goes to the heart of properly identifying and tracking every individual who enters a building.

But let's primarily address the specific issue of using it to comply with state and federal regulations.

When discussing the issue of compliance and the use of visitor systems, we first need to understand that organizations must often comply with regulations that are specific to their industry. So the type of industry makes a difference.

For example, organizations in the food and beverage industry must  comply with regulations under the Bio Terrorism Act, requiring them to know about and record every visitor who comes in and out of their facilities. A paper guest book for visitor sign in is an inadequate way to comply with such a regulation.

A visitor registration system allows organizations in this environment to monitor and track all their guests and to make a visitor log readily available to proper authorities if necessary. Read about the use of EasyLobby visitor tracking software used at a National Food Distributor.

Electric utilities are another industry that must comply with specific regulations for heightened visitor security at their generating facilities. Some of the largest utilities in this country use EasyLobby to help them improve visitor registration and monitoring at their facilities.

Read our success story of a large electric utility using EasyLobby visitor systems.

"Red Flags Rule" is yet another regulation that's part of the Fair and Accurate Credit Transaction Act of 2003. It requires businesses to be on the lookout for signs that someone is using another person's identity to get products or services with no intention of paying.

Businesses can verify the identity of visitors by using ID card software to scan the driver's license of all guests. Read more about Red Flags Rule.

Although not a specific state or federal regulation, many schools, hospitals and government agencies have internal or local requirements to guard against visitors who are on each states' sex offender database or the government denied parties database. EasyLobby's visitor management screens against individuals on these specific lists.

Our software also allows organizations to create their own internal watch lists to screen against individuals that they do not want entering their facilities.

Read how EasyLobby's school visitor software helps educational institutions and how EasyLobby helps government agencies identify visitors on terrorist watch lists and other government watch lists.

Discover how EasyLobby visitor management software can be used in your environment by registering for a free, customized online web conference.

In about 30 minutes we will demonstrate the features of our system that are most applicable to your specific requirements.

Know Who is in Your Building and Why with Visitor Management Software

Thursday, February 2, 2012 by John Murzycki

One of the primary benefits of a visitor system is that you can monitor exactly who is  in your facilities and the reason for their visit.

Unlike a paper guest book for visitor sign in, badge software allows you to keep all visitor information confidential while being able to validate the identity of everyone entering your building and knowing the reason for their visit.
Guest sign in
As we say in our advertising, you can know whether this person is a:

Competitor

Partner

Fired Employee

Contractor

Using our visitor software, you will be able to scan each visitor ID automatically and print customized visitor ID badges in 20 seconds or less for each visitor.

With the ability to scale from a single system to hundreds across an enterprise, our visitor registration software can be used in any type of environment, large or small.

You can use a variety of alerts that allow you to take actions based on specific visitor behavior.  For instance, you may want to know when a visitor badge has expired but that guest has not yet checked out. Or you may want to be notified when a contractor has checked in for the third time so that you can certify him to continue working in your building.

For an increased level of lobby security you can flag visitors against internal watch lists of individuals that you do not want entering your facility such as former employees, competitors, or any others. Or you can screen against external databases such as each states' sex offender database or the Government Denied Party database.

Our visitor systems are integrated with over 40 of the leading access control systems, which allow you to provide proximity card access to guests, permitting them to enter doors, turnstiles and elevators controlled by the access system.

These are a few of the many features that you can implement using visitor registration from EasyLobby.

In about 30 minutes we will show you how to create a professional visitor badge with our ID card software.

Using Your Visitor System for Time and Attendance

Tuesday, January 31, 2012 by John Murzycki

Time and Attendance with ID Card Software

One of the benefits of using EasyLobby badge software is that the same system you use for visitor registration can also be used to track the time and attendance of employees, contractors, volunteers, or any other personnel.

It's a relatively easy process to use your visitor management software for time and attendance.

All you need to do is to import all the employee names into the EasyLobby visitor software. There are several ways to accomplish this step. Contact our technical support center if you need assistance with this at support@easylobby.com.

You then design an ID badge template that includes a barcode for all those you wish to record the time and attendance. The barcode will be used to scan them in and out of the facility.

Or  you can provide them with a proximity card which, when used in conjunction with EasyLobby's access control integration, will allow those individuals access to locked doors, elevators or turnstiles controlled by the access system.

The time that the employee or guest is onsite is then recorded in the EasyLobby electronic visitor management system. You are able to either access a report with the details of check in and check out times, or you can export the data using a variety of formats into other systems.

Our time and attendance feature can be used for all employees, or to record the time for temporary employees and contractors. You may be able to achieve considerable savings by documenting the time and attendance of outside contractors and to issue payments based on the actual onsite time.

One of our customers in the food transportation business has used this feature to avoid unwarranted delay fees charged by other trucking companies who in the past had claimed that it took longer to load or offload materials in their facilities.

Another EasyLobby customer, a large electric utility, realized considerable savings by closely monitoring the time and attendance of all contractors working at their generating facilities during planned and unplanned outages.

Keep in mind that the time and attendance feature is just  one of the many different capabilities that can be used in conjunction with our visitor systems. There are many others.

Discover more capabilities of our visitor registration software by signing up for a free, customized online web conference.

In about 30 minutes we will demonstrate ways to create professional visitor badges and how to use visitor management to improve security and the efficiency of your organization.

A Visitor System to use at Remote Locations

Friday, January 20, 2012 by John Murzycki

Visitor Tracking Software at Remote Locations

When using visitor registration software, you may have the requirement to use it at locations such as guard shacks, loading docks, gate entrances, or other remote locations away from the main lobby. Some of these locations may not have power while others may be outside and are not suitable for computers.

You probably want to provide the same visitor badges and manage visitors at these locations like you do at the main entrance.

A good solution is EasyLobby's mobile wireless solutions for visitor registration. These devices can be used outside and at locations that are not suitable for computers.

Mobile solutions can be used at multiple locations around your facility and the visitor log can share a common database so that you are able to analyze and report on guest sign in across the enterprise. Visitor data is sent from the wireless devices over a network to the main EasyLobby visitor management database.

Using an EasyLobby mobile device, you can scan a visitor ID such as a driver's license and you can check in the visitor at that location. Or you can scan a barcode on an existing visitor pass to determine if they have already been checked in at the main entrance.

So make the most of your visitor software by using it all all entry points at your facilities, including remote locations.

Visitor Management Software Can Also Be Used To Track Assets

Tuesday, January 17, 2012 by John Murzycki

Asset Tracking with Badge ID Software
Many people who learn about visitor software are surprised that it can also be used to track assets in their organization.

Our visitor registration system is primarily designed to effectively manage visitors at your facilities, letting your know who is in the building and the reasons why, while also keeping out unwanted visitors.

But what's less known is that you can use the same visitor registration software to track equipment taken out of the facility or moved within the building. This is helpful in deterring theft and allowing you to easily locate key pieces of equipment such as items that are typically shared or moved about the facility.

For example, our badge software can help you keep track every item removed from say a holding bin and the name of the person removing it. The attendant knows exactly who used the equipment last, where it was used, and whether the person returned it.

Asset tracking is an integral part of our visitor system, it's not an add-on or an extra option. So customers can use the same visitor control software to track equipment that they use to manage visitors.

It's nice to know that EasyLobby visitor systems can be used to provide effective visitor registration and that you have the option of also using the system to track assets.

So whether it's managing visitors more professionally, providing effective lobby management, or tracking assets, you can do it all with your EasyLobby ID card software.

A New Year's Resolution: Improve the Image of Your Organization Using Visitor Registration Software

Friday, December 30, 2011 by John Murzycki

ID Badge System

The beginning of a new year is a time to reflect on past accomplishments and consider improvements for the future.

If you are responsible for the image of your organization, or for overall physical security, lobby security, facilities management or any aspect of managing visitors, then this article is for you.

One of the most important security and facility improvements to consider for the new year is enhancing how visitors are managed in your organization. The process you use reflects greatly on how people view your organization.

Unfortunately, in many organizations today, visitors entering a secure building are able to gain access by simply signing a paper guest book.

Not only is this an unsecure process, but the data is usually incomplete, often difficult to read, and always impossible to analyze. And even worse, visitor data is out in the open and readily available to anyone who wants to flip through the book's pages.

But there's a better way. With a visitor system you are able to securely record guest data and create visitor passes that are professional and functional.

As a result, your organization is more professional in the way guests are treated, you improve visitor security by knowing exactly who is in your building and the reason why, and you greatly improve the visitor registration process.

And there's much more you can accomplish with badge software.

You can receive alerts on visitor behavior. For example, you may want to know when a visitor badge has expired but that guest has not checked out of the building.

You can integrate the visitor software to your access control system to provide temporary proximity card access for guests.

You can allow employees to pre-register guests they know will be arriving using a web-based interface. The information completed by the employee will automatically be sent to the lobby system, alleviating that data capture when the guest arrives. The lobby attendant can even have a visitor pass pre-printed for the guest.

You can have guests self-register when they enter the lobby, either at a kiosk or by using an iPad or other tablet computer.

Using an EasyLobby visitor registration system, you are able to accomplish all these tasks. We can also recommend many other important features that improve visitor management at your facilities.

Find out more about the benefits of using ID card software and visitor badges by registering for a free, personalized online web conference.

In about 30 minutes we will demonstrate the EasyLobby features that are most appropriate for your specific environment.

Important Visitor Registration Capabilities to Consider

Thursday, December 15, 2011 by John Murzycki

ID Card Software for Your Environment

Most people who use a visitor system are familiar with the primary benefits and features of it, including the capability to:
  • Scan a visitor ID such as a driver's license during check in to capture relevant visitor information automatically and to verify the identity of the visitor
  • Use the electronic visitor management system to capture additional information that is pertinent to your environment
  • Print professional visitor badges to identify visitors throughout the building
  • Run reports to understand visitor activity and how to improve the process of managing visitors
But there are many additional badge software features for you to consider to add functionality, improve visitor security and enhance the professionalism of your organization.

The first thing to consider is what's most important for you and your particular environment. Because each organization is different with specific priorities, it's important to first determine what you are looking to get out of the software. EasyLobby builds a great deal of functionality into our visitor systems and allows you to tailor it to fit your needs. But the many features are only pertinent to you if they help you manage visitors better.

For instance, EasyLobby has an employee pre-registration feature that allows your employees to pre-register guests they know will be arriving. This alleviates much of the data collection that is normally done when the guest arrives.

Some organization may want to create internal watch lists to screen against unwanted visitors and also screen against visitors on each states' sex offender database or government denied party database.

Other organizations may want to operate their lobby system in a kiosk mode so that visitors can self register. This is useful in an unattended lobby or to alleviate congestion during guest sign in at busy lobbies

Some organizations may want to monitor time and attendance with their visitor software to control the time that contractors or temporary employees are on-site.

You may want to consider integrating your visitor registration system to your access control system to provide temporary proximity card access to guests. This allows them to move about the facility without the need for an employee escort.

You may have an area within your facility that is a high security area and you want to limit any outside visitors from entering. EasyLobby has a product called Satellite that is used to control and monitor entry and exit at one or more internal locations or "check points" for visitors who have already been provided with a visitor pass at a visitor registration system.

You may want to create a specific visitor badge for different categories of visitors. Our badge maker software can easily accomplish this.

The list goes on. The point is that organizations have different concerns for improving lobby management and you need a system that has the capabilities to adapt to your needs.

In about 30 minutes we will demonstrate the features of our system that are best for your specific environment.

Visitor Management Software Improves Security and Protects Assets

Tuesday, December 13, 2011 by John Murzycki

Improve Security with Visitor Management

Using visitor registration to monitor each and every guest entering your facilities is one important way to improve security and protect the assets of your organization.

Visitor software helps you better manage the flow of visitors who enter your facilities. It improves lobby management and creates an image of a well-run and professional organization.

By replacing a paper guest book and automating the entire process of guest sign in, you are able to scan a visitor ID such as a drivers license and create a professional visitor pass in seconds per visitor.

Integration of the visitor system with your access control system is recommended if you wish to provide visitors with a proximity card to allow access to locked doors, elevators or turnstiles controlled by your access system.

You are able to create alerts so that you can take certain actions based on visitor behavior. For instance, you may want to know when a person's visitor badge has expired but have not checked out.

For an increased level of security, visitor registration software can be used to flag visitors against watch lists such as each states' sex offender database or the Government Denied Parties Database to screen against unwanted visitors.

EasyLobby visitor systems have a host of features that allow you to customize the system to fit your specific needs and requirements for managing visitors and improving security.

In about 30 minutes we will demonstrate the features of our software that are most pertinent to your specific environment.

Interested in Improving Workplace Security? Use a Visitor Registration System to Screen Unwanted Visitors

Tuesday, December 6, 2011 by John Murzycki

Improve Workplace Security with Visitor Registration
A visitor system can enhance a workplace environment in many different ways, but workplace security is one of the most important reasons for using visitor software.

One of the features of visitor registration software is using watch lists and external screening services to protect your environment from unwanted visitors.

Overall, visitor management software helps organizations improve how they are managing visitors by identifying, badging and tracking all visitors. By knowing who is in their buildings and the reason why, organizations can dramatically improve visitor security.

With ID card software you are able to electronically scan a visitor ID such as a driver's license, business card, or other form of identification during guest sign in. You can capture and record all relevant information about that visitor.

By requiring that all guests wear a visitor badge, you and your employees are able to quickly and easily identify all outside individuals. You are able to see who they are and whether they are in a location in the building where they should be. You can also see whether any other restrictions are in place for that visitor, such as the requirement that they be escorted by an employee.

Any information that you capture and assign to that guest during visitor sign in can be printed on the visitor pass.

With a watch list feature a lobby system is able to automatically screen visitors before they check in, alerting your lobby attendants or security staff that an unwanted visitor is trying to check in.

Watch lists are created by you to screen against individuals that you do not want entering your facilities. Individuals might include disgruntled former employees, competitors, unprofessional contractors, or malicious individuals.

In addition to internal watch lists you can use external databases such as each states' sex offender database and the Government Denied Parties database to further regulate the individuals that are allowed entry to your facilities.

Both internal watch lists and external databases will confirm a match with seconds during visitor check in.

So consider badge software as a way to help you improve workplace security by screening unwanted individuals.

Discover more about the way EasyLobby visitor systems can be used to better identify, track, badge and screen visitors. To learn more register for a free, personalized online web conference.

In about 30 minutes we can demonstrate the features of our badge software that are most pertinent to your particular environment.

One of the competitive advantages of EasyLobby badge software is the many partnerships that exist between us and world-class security management and system integration organizations around the world.

ID Badge System

When was the last time you evaluated the effectiveness of your visitor registration system?

At many facilities the answer is, "Far too long."

But there are many opportunities for improving the way you are managing visitors that will both improve visitor security and enhance the professionalism of your organization. And you should periodically take advantage of the opportunity to do so.

First of all, if you are still using a paper guest book for visitor sign in, then you are definitely not getting the most out of your visitor management techniques.

EasyLobby badge software provides a great deal of flexibility and customization, allowing you to capture exactly the information you need, knowing who is in your buildings and why. You also will be able to improve the processes for dealing with visitors.

It's a good idea to evaluate the visitor software functions that you are using, and which ones you are not. Here's a brief list of things to evaluate and consider:

What information are you including on visitor badges? Do you include a barcode for easy check out with a simple scan? What about the visitor's photo scanned from their driver's license or taken with a web camera? Remember, the visitor badge is one of the most visible aspects of visitor registration, so take every opportunity to make sure it is professional as well as functional.

What alerts are you using? Visitor systems allow you to incorporate a wide variety of alerts so that you are notified of specific visitor activity. One example is an alert on expired badges so that you know when a badge has expired but the visitor has not yet checked out.

How are you screening unwanted visitors? Do you create watch lists in your lobby system so that the attendant can be alerted about someone trying to check in that you do not want to enter your facilities. These might include disgruntled former employees, unwanted contractors, someone from a competing company or any other categories.

Have you integrated your visitor management with your access control system? This will allow you to provide temporary proximity card access to guests and contractors through your visitor system.

Do you produce reports to analyze visitor activity? This is a great way to determine if there are trends that will allow you to operate more effectively or improve lobby security.

These are some of the visitor management software improvements that you may want to consider. Find out more by registering for a free online web conference.
