How to Create Visitor Badges That Are Most Useful For Your Environment

Creating a visitor badge for every guest who enters your facilities is a great way to improve visitor security and enhance the reputation of your organization as one that is well-run and concerned about its guests and employees.

A pen and paper guest sign in lacks professionalism and has glaring problems for today's lobby management.

So how can you maximize the use of using visitor passes so that they are most effective in your particular environment?

Because a visitor ID badge should contain the type of information that is most helpful to identify the guest and ensure they are where they should be in your facilities, here is a list of items that you should consider when developing badge templates:
  • Include the check in time and expected check out time on each badge. This corresponds to the "from" "to" time on visitor check in.
  • Put the name of the employee that the guest is visiting, and possibly the photo of the employee. Also add the location (such as floor or conference room) that the guest is expected to visit.
  • Highlight on the badge whether the guest is required to be escorted by an employee.
  • Put a photo of the visitor on the badge by scanning it from their license or taking a photo with a web cam.
  • Barcodes printed on a visitor pass can be used for a number of important reasons. They enhance check out by speeding the process; they can be used to determine if the visitor is allowed access to more secure areas of the facility, as determined by the clearance level granted to them during the time of their check; and with EasyLobby's access control integration, the visitor ID badges can be used to open doors controlled by the access control system.
  • The use of a self-expiring badge allows you to determine if a badge is from a previous day. These badges bleed through a red stop sign after 6 hours.
  • Use a different color on badges for each day of the week. It's another way to highlight if the badge was issued on a particular day rather than a previous day.
  • Create different styles of badges for different categories of visitors such as contractors versus temporary employees, versus day visitors, or whatever category is important for you to highlight.
  • Use an employee pre-registration feature to allow employees to register guests before they arrive. This saves time collecting visitor information during visitor sign in.
  • Give careful consideration to the most important fields you wish to display on a visitor badge. Is company affiliation important? Do you want to include the business title of the guest? What about the purpose of their visit? Basically just about any fields that you complete during visitor check in can be put onto a visitor badge. Just be sure that it enhances how you are managing visitors and identifying visitors at your facilities.
