The AssureTec ID-150 scanner is capable of reading both sides of a driver's license simultaneously and automatically comparing the data on the magnetic strip or 2D barcode on the back of the license and the information on the front.

  • Create different styles of badges for different categories of visitors such as contractors versus temporary employees, versus day visitors, or whatever category is important for you to highlight.
  • Use an employee pre-registration feature to allow employees to register guests before they arrive. This saves time collecting visitor information during visitor sign in.
  • Give careful consideration to the most important fields you wish to display on a visitor badge. Is company affiliation important? Do you want to include the business title of the guest? Here's how to accomplish this in EasyLobby visitor software:
  • Decide which visitor category you want to format badges.
  • Decide the different design elements you want to include in that badge category - color, photos, text, visitor data fields, and other elements.

Our newest visitor management software product has just been introduced. It's called EasyLobby eKiosk™.

This new lobby system allows visitors to self-register on an Apple iPad or any Andriod or Windows based tablet computer.

Visitor self-registration is becoming more and more popular in nearly every market segment. Because many customer sites don't have the space in a lobby for a traditional self-standing Kiosk, we developed this application as a smaller, more intimate visitor system alternative.

With a built-in touch screen and very intuitive ease of use, an iPad or other tablet computer can be handed to the visitor when they arrive, allowing the guest to fill out the registration form and print their visitor badge.

When used in combination with EasyLobby's eAdvance web pre-registration software, the new EasyLobby eKiosk software makes it fast and easy for visitors to register themselves upon arrival, and is an effective way for organizations to be managing visitors, especially in a busy lobby.

The host employee can pre-register the visitor in eAdvance from their own computer; eAdvance then sends the visitor a confirmation email with their registration number. When the visitor arrives and is handed an eKiosk-enabled device, they simply enter their name or the registration number, and their record will automatically come up.

EasyLobby customers can configure the guest sign in form on any eKiosk device to include whatever fields they want.

Customers can also display a PDF or HTML file with eKiosk for visitors to review and acknowledge or agree to.

eKiosk also has the ability to screen visitors against a pre-registered visitor list and/or internal watch list to keep unwanted or unauthorized people out.

When a visitor completes the self registration and checks in using eKiosk, an email or SMS text is automatically sent to the employee being visited.

Visitor passes can be printed upon check in, and all visitor log data is stored in a central database.

If you want to improve the security of your facilities, as well as the professionalism of your organization (and who doesn't), now is the time to review how you are managing visitors that enter your building.

Clearly, organizations that use professional visitor software are able to better safeguard their facilities and people, as well as maintain the image of a professional and well-run organization.

The reason is simple. A visitor registration system allows you to understand who is entering your buildings and the reasons for their visit.

Organizations of any size can apply basic visitor registration procedures to ensure they are able to identify and track every visitor to their facilities. Here are a few suggestions:

Use color coded visitor badges to quickly identify the type of visitor (such as contractor, intern, day visitor, etc,) and decide whether the visitor needs to be escorted by an employee.

Use your visitor system to print barcodes on visitor passes. This greatly speeds visitor check out. It also allows the guest to re-use that visitor pass the next time they visit. They can be checked in with a simple scan of the badge because the system will have the record of their previous guest sign in.

Decide if you want a photo of the visitor, either scanned from a visitor ID such as a driver's license or taken by a web camera during visitor sign in. You can also place this photo on badge templates so that it is included with each visitor badge.

Use watch lists to screen against unwanted visitors, and screen visitors against each states' sex offender database or Government Denied Parties database.

Use alerts as part of your badge software so that you can take action when a specific event has occurred. This allows you to better manage visitor action. For example, you may want a contractor to take a safety test after their third visit, or a potential partner to sign a non-disclosure agreement after their second visit. You can set those parameters on your visitor tracking software to easily accomplish this.

Periodically review the information that you capture from guests with your visitor management software. Is it the type of information that is most useful to you?

Finally, use reports to analyze visitor activity and fine-tune your system.

Visitor Management at ASIS 2011

A number of us at EasyLobby just returned from the annual ASIS International Security Conference. It was a busy three days, and we had the opportunity to take part in many great discussions about visitor software with those attending the show.

Here are a few subjective observations.

Interest in security products is very high. Attendance at the event was strong, and most everyone we spoke to were not limiting their anticipated purchases because of the economy or business forecasts.

Visitor management software was an important function that many security managers wanted to discuss and find out more.

Most of the people we spoke with knew about EasyLobby visitor passes and sought us out to see a demo of our software.

Many of the features in our badge software were particularly important to those visiting our booth, features such as access control integration, watch lists, pre-registration by employees and the ability to customize visitor badges.

Most everyone at our booth wanted a demo of the visitor registration software so that they could see how it operated.
