One of the more interesting and powerful features in the latest version of EasyLobby visitor software is rules-based approval. It's part of the web-based software that allows employees to pre-register visitors.

The capability provides administrators with a great deal of flexibility in deciding the approval process for visitors that are pre-registered by employees.

It's this type of flexibility that allows EasyLobby visitor registration software to be customized for your specific requirements.

Our pre-registration software for employees is called eAdvance. It's one of the options of our Secure Visitor Management (SVM) main application software. eAdvance allows employees to pre-register guests they know will be arriving, alleviating congestion at the front desk by having the guest information already complete.

The rules-based feature allows you to decide how those pre-registered guests are approved by others in the organization, and what those rules are.

Among the visitor system rules that you can choose to establish are:
  • The person or persons who need to approve a visitor badge being issued to a pre-registered guest.
  • Any specific category of visitors that need to be approved for entry.
  • Whether any of the user-defined fields are subject to specific approvals before a visitor pass is issued to that guest.
An example of this rules-based approval is a pre-registered guest who is a contractor and does not have self-insured documentation on file. In this case, a user defined field has been checked concerning the self-insured documentation for contractors. You can apply a rule that when this occurs, a specific person needs to approve this contractor for entry.

You can see by this degree of customization that it provides you with a great deal of control over how you are managing visitors and approving them for entry.

Let's look at another specific example as a comparison. You may want to apply a rule for pre-registered visitors who are a foreign national and they do not have passport identification. As in the previous example, you can apply a visitor registration rule specifying the approval process that is required.

You can see by these brief examples that the rules can be varied and can cover many different circumstances for the approval of pre-registered visitors. Depending on your needs and concerns, it allows you to better manage guest sign in and decide who and when these guests will be approved for entry.
