Easy-To-Use Visitor Management Techniques

Tuesday, February 9, 2010 by John Murzycki

EasyLobby simplifies your visitor management solutions.

Ease-of-use is a major consideration of our visitor registration software. During visitor sign in, a lobby attendant can quickly register a guest without going through a lot of complicated steps.

Managing visitors at your facilities can be efficient and professional with EasyLobby because the lobby attendant can automatically capture information about the identity of the visitor by scanning their driver's license, business card, passport or other form of identification.

You can create customized visitor ID badges that display exactly the information you want, including the photo of the visitor scanned from their driver's license or taken with a webcam.

While easy-to-use, you also want to have the flexibility of capturing visitor information that is specific to your environment. For example, you may want to know if a visitor has signed a non-disclosure agreement, viewed a safety video, or any other number of details that are specific to your business.

EasyLobby visitor monitoring software allows you to tailor the system to your requirements.

Creating Watch Lists are an important feature of our visitor control software that alerts you to either unwanted visitors or VIP guests, allowing you to take appropriate action.

You may also want to be alerted to visitors who are on the National Sex Offender Database - a feature often used with our school visitor software. Likewise, for government installations you may want to be alerted to visitors on the Government Denied Party databases.

Some of our customers want visitors to be pre-registered by the employees expecting the visitor. This automatically notifies the lobby attendant about the expected guests, and even lets the attendant pre-print badges that are ready when the guests arrive.

All these items will greatly enhance your visitor management security. For more information how EasyLobby Secure Visitor Management can help you, register for a free, no-obligation online web conference.

In about 30 minutes we will explain the features of our visitor management system that can most help how you manage visitors.

The Best Features in a Visitor Management System

Friday, January 29, 2010 by John Murzycki

People often ask us what we think are the best features to have in a visitor management system.

Our answer is: "It depends on your priorities for visitor security and how you wish to be managing visitors at your environment."

For example, colleges, universities and K-12 schools have unique concerns about screening out potential guests who are on the National Sex Offender Database Registry. Our visitor monitoring software for schools allows them to identify and deny entry to anyone on this Registry.

Likewise, government installations often want their visitor registration software to be able to automatically identify people on the Government Denied Database.

Hospitals want to integrate with a number of systems that are specific to their environment, such as Status Blue, which allows them to pre-register approved vendors, and HL7 for real-time patient feeds. Many hospitals also want to incorporate alerts on maximum number of visitors per patients.

Organizations with unattended lobbies want to operate their visitor registration system in a Kiosk mode so that visitors can self-register.

Many organizations want their employees to pre-register all guests who are scheduled to arrive.

Some organizations want to monitor time and attendance of contractors to be sure they are onsite the hours they claimed.

Some organizations have areas within the facility that have higher security concerns. In these cases they want to limit visitors from entering those areas, or at least determine which visitors can enter.

Other organizations want their visitor registration system to integrate with their access control system to provide security visitor badges that work with their access system.

EasyLobby provides all these features plus many others. To find out more, register for a free, no-obligation online web conference.

In about 30 minutes we will guide you through the visitor management techniques that are most appropriate for your organization.

Ballston Spa Central School District Uses EasyLobby for Secure Visitor Management

Wednesday, January 20, 2010 by John Murzycki

Located 25 miles north of the state capital Albany, the Ballston Spa Central School District began a search for a professional visitor registration system to better understand and manage visitors to their schools.

The District conducted several demos of school visitor software, and after careful evaluation selected EasyLobby visitor monitoring software.

"The EasyLobby interface is very self-explanatory, and product features such as the ability to change the layout of visitor ID badges are very helpful," said Edwin Martin, the Coordinator of Facilities and Security for the School District.

Of particular interest to the District was customizing visitor ID badges for different categories of visitors. The District now conducts all visitor sign in by requesting and scanning photo ID's, usually a driver's license.

"From a security perspective, we now can reliably track everyone who visits, from arrival to departure," said Martin. "From a facilities perspective, we're now able to verify the arrival and departure time of all outside contractors to ensure that they are on the job as specified."

Martin continued, "Overall, the implementation of EasyLobby visitor monitoring software has been beneficial to the School District by providing administrators with the information needed to understand and manage visitors to our buildings."

The use of sex offender screening in the visitor registration software has reassured staff and parents that proper controls are in place to monitor all visitors.

Dr. Joseph Dragone, Superintendent of Schools for the Ballston Spa Central School District said, "EasyLobby visitor management techniques have been well received by our community, especially parents who feel reassured that the District is taking visitor security seriously."

Organizations that are a good fit for visitor monitoring software.

Thursday, January 7, 2010 by John Murzycki

EasyLobby customers using our visitor registration software span a wide variety of organizations.

They include Fortune 1000 companies, small companies, schools, hospitals, government installations, and customers in many different vertical markets.

Customers that use our visitor management solutions have a positive attitude of respect for the guests who visit their facilities and a high regard for the safety of both visitors and employees.

Organizations that respect guests treat them in a professional manner, unlike those organizations that haphazardly hand visitors a generic stick-on badge and have them sign a log-in book.

A respect for visitors includes treating them in a way that says they are important. That begins when they first enter a facility and are greeted by a lobby attendant using visitor control software to produce professional, customizable visitor ID badges.

It also says the organization is conscious of visitor security and is taking steps to protect guests and employees from unwanted visitors.

If your organization has a high regard for visitors and employees, you are a good candidate for EasyLobby's visitor management system. It's extremely easy to use and also contains many different features that allow you to customize it to fit how you are managing visitors in your environment.

Colleges and Universities Depend on EasyLobby Visitor Control Software

Tuesday, January 5, 2010 by John Murzycki

EasyLobby visitor registration software is used at these and many other colleges and universities.

We help protect students, faculty and administrators by monitoring who is visiting school facilities.

College campuses have unique considerations when dealing with visitor management solutions. Most campuses are open environments and have many people entering and leaving a variety of different buildings such as student housing and dormitories, libraries, classrooms, fitness centers, student activity facilities, and administrative offices.

Protecting these environments requires making them secure as well as ensuring the flow of individuals in and out of the various facilities.

Visitor security at colleges starts with knowing who is visiting campus facilities. This can be accomplished using a professional visitor registration system to monitor and control exactly who is entering a facility.

All visitors to a campus should be required to wear a school visitor badge that is issued when they are logged in by the visitor monitoring software. Students of the college should also be treated as visitors when they request access to a dormitory that they do not live in.

School visitor software such as EasyLobby Secure Visitor Management should be capable of accessing the national sex-offender watch list at the time of visitor sign in. The school can then develop a strict policy about how to treat visitors on this, or other watch lists.

To learn more about our visitor management system for college and university campuses, register for a free, no-obligation online web conference. In about 30 minutes we will show you how to improve visitor management security at your college.

EasyLobby is also used in many other environments such as corporate, government, multi-tenant, manufacturing, hospitals, and K-12 schools. Here's a partial list of our many customers.

Choosing the Best Visitor Registration Software for Your Needs

Monday, December 7, 2009 by John Murzycki

Secure visitor management has become a requirement for both large and small organizations. Visitor management solutions are now used extensively at hospitals, universities and elementary and secondary schools.

But choosing the right visitor monitoring software for your environment is not always a simple task.

Deciding on the best visitor registration system means choosing a solution with the lowest cost of ownership and one that meets both your current and future needs.

If a vendor does not provide a solution with proven technology, backed with an outstanding track record of service, it probably isn't your best choice.

There is also little benefit depending on a vendor who hasn't been around for years, with many happy and loyal clients that speak to their abilities and values

Only satisfied customers, who have been customers for many years, will be able to speak to the attributes of an established vendor with impeccable service, technology leadership, and the ability to deliver product enhancements that meet the needs of different environments.

EasyLobby's visitor management security solutions are widely regarded as the best in the industry. In business for over 12 years, we have thousands of satisfied customers around the world. Our visitor management system is extremely feature-rich so that you can tailor it to your specific requirements.

Yet it is also easy to use with little or no training necessary.

Visitor security should be a top priority for any organization. EasyLobby can address your requirements for visitor control software and the creation of professional visitor ID badges.

Printing Speed vs Picture Quality During Visitor Sign In

Friday, December 4, 2009 by Morgan Jassen

Your organization already knows whether a quick checkin is most important, or whether a colorful, clear Visitor ID Badge is top priority.  Maybe you are a busy lobby where you just need to print out Visitor ID Badges quickly.  Or maybe you are a school and you need a quality School Visitor Badge that will be issued for an entire semester.  A Visitor Badge Software like EasyLobby will be customizable to cater to printing speed, picture quality or a combination of both.

Here is how Visitor Badge Software can handle the different situations:

Speed: For a grayscale or black and white Visitor ID Badge, choose a thermal label printer
Quality:For a color badge, choose a color inkjet printer

Speed: For a fast photo capture without any extra mouse clicks, let the license scanner capture the photo from the visitor's driver's license
Quality:For a fresh, well-lit visitor photo, capture the visitor's photo on arrival with a webcam

Speed: Just have text on the Visitor ID Badge; it will print more quickly
Quality:Make the visitor photo large and prominent on the Visitor ID Badge, and include catchy graphics

A combination of both: Let the Visitor ID Badge be black and white for quicker printing, but have a high quality, crisp visitor photo.
A combination of both: Leave out the images for quicker printing, but have color background and text that looks great.

These are just a few tips.  Depending on the printer and badge template, there are countless possibilities.  You already know whether you want speed or quality.  Now you know how to implement it.

Visitor Badge Software from EasyLobby

Wednesday, December 2, 2009 by John Murzycki

EasyLobby's visitor registration system gives you the flexibility to design security visitor badges that fit your specific needs.

For example, this school visitor badge is designed for visiting parents.

We make it easy to design multiple formats with the precise visitor information that you want to put on the badge.

EasyLobby badge maker software has over 200 pre-formatted badge templates, as well as a custom badge designer. Just about any information that you capture at visitor sign in can be put on visitor ID badges.

Placing the visitor's photo on the badge is a good option. You can capture the visitor's photo by either scanning their license, passport, or by taking a photo with a web cam.

Barcodes printed on visitor ID badges allow you to scan the badge for rapid check out. You can also grant long-term badges to certain visitors and use the barcode on their badge to scan them in each time they re-enter the facility.

Our visitor registration software gives you the ability to print visitor badges with dynamic color coding so that you can establish different badge formats for different categories of visitors - contractors, student interns, tour attendees, day visitors, etc.

We even provide self-expiring badges that bleed through a red X symbol after 24 hours so that you know the badge has expired.

Visitor Management Techniques from EasyLobby

Monday, November 23, 2009 by John Murzycki

How are you managing visitors at your facilities?

No matter what the size or type of organization, you need to have a process in place for visitor sign in and dealing with guests or contractors who enter your building.

Organizations that take this seriously will periodically review their visitor management techniques, looking for efficiencies and ways to improve visitor security and lobby management.

Here are a few techniques from EasyLobby, the leader in visitor management software.

First, use a professional visitor registration system that can quickly scan a driver's license, business card, or other form of identification to create professional-looking visitor ID badges.

Evaluate the type of visitor information you require to be captured.

Decide whether you require a photo of the visitor - scanned from a license or taken by a web cam - and whether you include that photo on security visitor badges.

Use color coded visitor ID badges to quickly identify the type of visitor (contractor, intern, etc.) and whether that visitor should be escorted by an employee.

Consider using alerts (based on frequency or time-based), which will allow you to take certain actions on visitor behavior such as when a visitor has entered the facility a certain number of times.

For an increased level of visitor management security, your visitor registration software can use Watch Lists such as the National Sex Offender Watch List to screen against unwanted visitors (particularly appropriate for K-12 schools).

Produce reports, and analyze visitor data to determine if there are trends that will allow you to operate more effectively.

EasyLobby's visitor management system can perform these tasks, plus many others. To find out more, register for our free, no-obligation online web conference.

K-12 Schools Depend on EasyLobby for Visitor Security

Tuesday, November 10, 2009 by John Murzycki

All these K-12 Schools, in addition to many others, use EasyLobby Secure Visitor Management to protect their students, teachers and administrators from possible predators and unwanted visitors.

An EasyLobby system is one of the easiest and most economical ways for a school to dramatically improve overall visitor security.

EasyLobby's school visitor software alerts lobby attendants to any visitor who is on the National Sex Offender Database. Upon registration, if the guest is listed on this database a warning will alert the attendant.

No visitor should be allowed to enter a school without first interacting with a member of the staff and checking into the EasyLobby station. Nobody other than students and staff should be permitted inside without a valid school visitor badge.

EasyLobby's visitor management system also addresses other concerns of schools such as:
  • The ability to print permanent barcoded visitor ID badges for parents and caretakers to expedite dropping off and picking up students. The barcode on their school visitor badge can be scanned to log them in or out of the school.
  • The capability to badge school volunteers and other helpers, as well as contractors, and track their hours automatically.
  • The ability to scan student ID cards to monitor students allowed to leave school grounds during the day for activities such as senior lunch privileges.
  • Tracking students going on a field trip using mobile visitor monitoring software.
If you would like more information how EasyLobby's visitor registration system can protect your school from unwanted visitors, register for a free, no-obligation online web conference. In this 30 minute discussion you will learn about the advantages of our school visitor software.

Union Gap School District Protects Students from Predators with an EasyLobby Visitor Management System

Friday, October 2, 2009 by John Murzycki

The Union Gap School District in Union Gap, Washington, recently reported how they are protecting their students from possible predators. They have improved their visitor management security by using EasyLobby.

One of the reasons the school visitor software was installed was to alert lobby attendants to any visitors who are on the National Sex Offender Database. According to the Washington Association of Sheriffs and Police Chiefs there are 7 sex offenders living within 2 miles of the school.

To keep their students safe from sexual predators, the Union Gap School now uses EasyLobby's visitor registration system for all guests entering the school. Everyone must present a valid photo ID. They are logged into the visitor monitoring software and are provided with a school visitor badge.

Upon registration, if the guest is listed on the National Sex Offender Database, a warning will alert the attendant.

"If it protects one child it's well worth the money that we spent on it," says Kurt Hilyard, Union Gap School District Superintendent.

What's the Best Visitor Control Software for Your Organization?

Monday, September 21, 2009 by John Murzycki

We often get asked, "What kind of visitor monitoring software is best for our particular organization?"

For example, colleges, universities, and K-12 schools have unique concerns about monitoring potential guests who might be on the National Sex Offender Database Registry. We are sometime asked by school administrators, "Wouldn't specifically-developed school visitor software be better for our organization than a general purpose visitor management system?'

After all, a school visitor badge must accommodate parents, volunteers, and other specific guests. Colleges and universities have specific concerns that are different from K-12 schools.

In other industries, multi-tenant facilities have lobby management needs that are different from a corporate headquarters. Military and defense organizations have their unique standards for visitor security.

The fact is, EasyLobby has thousands of customers in organizations that span many different markets, from schools and colleges, corporate, government, military and defense, technology companies, food and distribution, and a host of other specific markets.

The reason so many customers use our visitor registration system in such diverse markets is because it is so adaptable to the needs of different organizations and different industries.

We build a great deal of flexibility in our system, allowing you to tailor our visitor management system to fit your specific needs.

Discover for yourself how adaptable our visitor registration software is for your environment. Register for our free online demo. We're sure you will agree that regardless of the type of industry or environment, EasyLobby is the perfect fit.

School Visitor Software at Loyola University - An EasyLobby Success Story

Wednesday, September 2, 2009 by John Murzycki

Loyola University Chicago is the nation's largest Jesuit Catholic University with a total enrollment of over 15,600 students. It is an urban campus that is frequented by non-students, especially the school libraries that are often visited by students from other nearby institutions.

Loyola began its search for visitor management solutions to better manage visitor security, with libraries being the first priority.

"We were having some petty thefts. More importantly, we simply wanted to know who was in our facilities," said Frank Dale, Manager of Physical Security for Loyola.

After an evaluation by representatives of the libraries, Dean of Students, and student organizations, EasyLobby was selected as the visitor control software to provide a school visitor badge to all visitors entering their libraries.

The use of school visitor software at Loyola has grown significantly since the initial library implementation. The university is currently using EasyLobby visitor registration software at 3 libraries, 7 residence halls, and 4 administrative buildings.

All visitor log software is networked to the same central database, where enterprise-wide data is integrated, analyzed and reported on.

"EasyLobby visitor monitoring software has helped make our campuses safer," said Dale.

"Because we are located in an urban setting, we place a high premium on keeping out unwanted visitors, and on keeping our students, faculty and staff safe."

Another benefit of EasyLobby visitor badge software has been the elimination of petty theft at the libraries. "These days the rate of theft is effectively zero," said Dale.

Rethink your Visitor Management Techniques

Wednesday, August 19, 2009 by John Murzycki

In a recent issue of the New York Times Magazine, Janet Napolitano, Secretary of Homeland Security, was interviewed in an article where she said that she has appointed a task force to rethink the color coded alerts that came out post 9/11.

She said that it was necessary to take a fresh look at important security measures.

Likewise, when was the last time you evaluated your visitor management security?

Every organization should periodically review and audit the steps taken with visitor sign in to ensure that you are providing the best visitor security and that you are efficiently processing visitors to your facilities.

Here are a few items to evaluate:
  • Use color coded visitor ID badges to quickly identify the type of visitor (contractor, intern, etc.) and whether that visitor should be escorted by an employee.
  • Evaluate the type of visitor information you require to be captured by your lobby staff.
  • Decide whether you require a photo of the visitor - scanned from a license or taken by a web cam - and whether you include that photo on the visitor badge.
  • Do you use alerts, which will allow you to take certain actions when a visitor has entered the facility a certain number of times?
  • Use Watch Lists, such as the National Sex Offender Watch List, to screen against unwanted visitors (particularly relevant when issuing a school visitor badge).
  • Produce reports, and analyze visitor data to determine if there are trends that will allow you to operate more effectively.
There are many more ways to make EasyLobby Secure Visitor Management work better for you. If you're not already using EasyLobby, take our free online demo to learn how you can provide better lobby security today.
