EasyLobby Visitor Registration Software is a Sponsor of NACHRI's Children's Hospital This Week

Friday, November 18, 2011 by John Murzycki

Visitor Badges for Hospitals

EasyLobby is currently one of the premier sponsors of the NACHRI Children's Hospital THIS WEEK.

The electronic newsletter is designed to further the education and enrichment opportunities for Children's Hospital administrators and clinical providers. It is produced by NACHRI, the National Association of Children's Hospital and Related Institutions.

Visitor software is used at many Children's Hospitals across the country to improve visitor security and to enhance how they are managing visitors at their facilities.

By scanning a visitor ID such as a driver's license, the visitor system is able to capture all the necessary information from the license and produce a professional visitor pass.

EasyLobby visitor systems are being used to scan and badge millions of visitors every day at Children's Hospitals throughout the country.

Our badge software is also integrated with other hospitals systems such as HL7 for real-time patient feeds. This allows the lobby attendant to receive up-to-date information about patient admissions and discharges into their lobby system so that they can match a visitor to a specific patient.

Maximum visitor alerts can be set so that a specified number of visitors can visit a particular patient at any one time. Once that number is exceeded an alert will inform the lobby attendant that the maximum number of guests has been reached for that patient.

With our access control integration, proximity card access can be provided to contractors or temporary employees directly from our ID badge system. This will allow them to access doors controlled by the access system without the need of being escorted by an employee.

Our Status Blue integration for hospitals allows the lobby attendant to see if a vendor is on the pre-approved vendor list of the hospital to facilitate their entry for certain individuals while limiting those who are not on the list.

Our sex offender database screening allows hospitals to screen against individuals who are on each states' sex offender database. Used in conjunction with our watch list feature, hospitals can screen against individuals they do not want in their facilities.

These and many other features make EasyLobby visitor management software a great fit for Children's Hospitals and other healthcare facilities.

What Security Dealers and Integrators Need to Understand about Badge Software

Wednesday, November 16, 2011 by John Murzycki

Lobby Visitor Management

EasyLobby recently authored an article in the November 2011 issue of industry publication Security Sales & Integration titled "Round Our Your Line With Visitor Management."

It's sort of a 'how to article' for security dealers and integrators who might not currently be carrying visitor systems as part of their product line.

Here are a few quotes from the article.

"The fact is, providing a visitor management system in your product line can add a great deal of value and complement existing security products.

"Although a paper guest book for guest sign in may be considered quick and easy, it is fraught with a number of security problems and diminishes the professionalism of an organization.

"To address these issues, security dealers and integrators are able to fill a need by recommending and in some cases administrating, visitor software for their clients.

"Dealers and integrators must consider the integration of any security system with other systems and how they operate in concert. That's where a professional visitor system comes into play.

"The integration of visitor registration software with electronic access control allows a lobby attendant to easily and safely provide temporary proximity credentials to visitors rather than doing so through the access control system. This simplifies the process and allows someone unfamiliar with the access system to provide temporary card privileges to visitors.

"Access control and visitor registration integration allows appropriate visitors to move freely through facilities without the need of an employee escort. The information entered into the lobby system during visitor check-in is seamlessly passed to the access control system.

"Screening unwanted visitors from a facility is also one of the functions of visitor tracking software. By creating watch lists in the electronic visitor management system, a lobby attendant or security officer will be alerted within seconds when someone on the list tries to enter the facility at a visitor check-in station.

"Although lobby attendants are often used to check in visitors with badge ID software, visitor self-registration is also an option. Either a freestanding kiosk or the use of an iPad or tablet computer can be used to allow guests to register themselves by completing required fields, much like the self-check-in employed at most airlines today.

"The good thing about visitor management software is that it is appropriate for just about every environment, from small to large."

How a Large Electric Utility Improved Visitor Security

Friday, November 11, 2011 by John Murzycki

Visitor Management at Electric Utilities

Electric utilities have specific security requirements because of the critical infrastructure nature of their facilities.

That's why many utilities have replaced their paper guest book with EasyLobby visitor registration software to comply with federal regulations requiring them to know exactly who has entered their facilities and to screen out unwanted visitors and contractors.

As an example, one large utility with more than 5 million customers uses EasyLobby visitor systems in more than a dozen office buildings and over 15 generating facilities.

This utility has designed visitor badges to have a consistent design across all facilities with distinct color coding to highlight which visitors need to be escorted and which do not.

In addition to improving lobby management and overall security, the utility also uses visitor software to control costs by better monitoring and controlling contractors working at their facilities.

With often hundreds to thousands of contractors working at these facilities during both planned and unplanned outages, the utility was able to use visitor registration to identify undesirable temporary workers and create a watch list to keep them from the facilities.

The visitor registration system also helped the utility determine the time the contractors actually spent on the site, thereby helping to dramatically control costs with more accurate time and attendance.

With an integration to their access control system, the utility was also able to provide contractors access to locked areas controlled by the access system.

The utility was able to achieve impressive results both in terms of controlling costs and improving security.

Read a case study of the use of an EasyLobby visitor system at a large electric utility.

How to use Proximity Cards with Visitor Passes

Monday, November 7, 2011 by John Murzycki

Visitor ID Badge
One of the options with a visitor system is the ability to activate proximity cards directly from the lobby system

This allows you to provide your guests with proximity cards directly through your lobby system so that they can open doors, elevators or turnstiles controlled by you access security system.

But the key here is that your visitor software must be integrated with the particular access control system that you are using.

EasyLobby visitor registration software is integrated with over 45 of the leading access control systems.

We use RF Ideas' pcProx Reader, pictured here, to activate and deactivate proximity cards from our visitor systems. This automates the process of activating the security visitor badges.

Rather than typing the prox card number into our visitor registration system during guest sign in, the lobby attendant only needs to tap the prox card on the reader and the prox card number is entered into our system to become active.

This pcProx Reader is compatible with over 300 million physical access proximity cards, allowing our users to turn the proximity cards into visitor badges that also open doors.

Then, when a visitor is leaving, the lobby attendant only has to tap the active prox card to the reader again to deactivate it and check out the visitor. The card cannot be used by unauthorized individuals but it can be reused and activated for a new visitor.

Our CEO, Howard Marson describes how we activate proximity cards in our visitor management system in this brief video produced by our partner RF Ideas. You can view the video here.

Also, read our white paper detailing our integration with access control systems.

How the Creation of Watch Lists in Visitor Systems Can Improve Security

Friday, November 4, 2011 by John Murzycki

ID Card Software

An important function of visitor software is the ability to receive an alert about unwanted individuals who are attempting to enter your facilities.

Although most people think about visitor registration as the creation of visitor passes for guests, there are many more capabilities that can be used to improve lobby management and also create a safer workplace environment.

Watch lists can include individuals such as a terminated employee, a malicious person, or an unscrupulous contractor.

Company affiliation or geographic location can also be the parameters for watch list alerts.

An approved operator or administrator can add individuals to an internal watch list.

External watch lists such as sex offender screening and the Government Denied Parties list can also be included as an option, in addition to any internal watch list.

Watch lists can also be used to highlight important individuals as well as unwanted people. Some examples of important people that might not be known to your lobby staff might include a VIP, one of your Board of Director members, an investor or a strategic partner. You may want to provide these people with preferential treatment or have them escorted by certain staff members.

An email alert of an attempted entry by someone on a watch list can be sent to a security officer or any other individual.

Using watch lists as part of your EasyLobby visitor registration system allows you to better control access to your facilities and screen unwanted visitors, or give preferential treatment to VIPs.

It's one of the many features of our visitor system that allows you to be managing visitors more professionally and securely.

The Benefit of a Panic Button on your Visitor Software

Friday, October 28, 2011 by John Murzycki

A Panic Button With Visitor Systems

A useful feature of EasyLobby visitor registration software is a panic button that can be used by the lobby attendant to send an immediate message alerting designated people that there is a problem in the lobby.

This one-click function in your visitor system is an important safety and security feature, enabling lobby personnel to react and respond to unwanted events.

A panic button that's part of your lobby system allows you to respond quickly to unexpected events in your lobby and enhance the safety and security of your staff and for all guests.

Both the panic message and the recipients of the message can be easily pre-programmed in the EasyLobby visitor management software.

Features such as a panic button are one of the many benefits of visitor registration software over a paper guest book for visitor sign in.

Other benefits include comprehensive watch list feature for both internal lists and external databases such as sex offender screening; the ability to integrate with access control systems to provide proximity card access for guests; and the ability of employees to pre-register guests using a web-based form.

Ultimately, badge software gives you the ability to understand who is in your facilities and the purpose of their visit. With each guest wearing a professional visitor badge you are able to easily identify visitors and know whether they are in a location where they should be.

Visitor Registration for a Positive Brand

Most organizations try to do everything possible to create a positive brand image. Although there are a lot of different elements that go into brand identity, certainly the way customers and prospects view that organization is a big part of creating a positive brand.

So are you reinforcing a positive brand image with professional lobby management, or do you still use a paper guest book for visitor sign in?

Improving lobby security and managing visitors professionally should be a priority for all organizations, and certainly for those who wish to maintain a positive brand identity. After all, how you greet visitors and the type of visitor system in place says a lot about the professionalism of the organization.

EasyLobby automates the entire process of guest sign in. Our visitor registration system automatically scans a visitor ID such as a driver's license and creates a professional-looking visitor pass, all within 20 seconds or less per visitor.

It allows you to take a positive approach to creating a good first impression with guests.

There are also a lot of other benefits of our visitor software such as knowing exactly who is in your building at any time and the reason for their visit. How to Control Access to Your Facilities with Visitor Tracking Software

Monday, October 17, 2011 by John Murzycki

ID card software

Knowing who is in your buildings and the reason why is a major reason for using professional visitor software.

That's why more organizations today are controlling access to their facilities with visitor registration. Professional lobby management not only improves security, it highlights that the organization cares about its visitors and employees.

Managing visitors professionally does not have to be an expensive proposition or unduly complicated or time consuming.

Professional visitor management begins at guest sign in. Replacing a paper guest book with badge software is the first step. This allows you to register a visitor with several easy steps:
  1. Scan a visitor ID such as a driver's license and capture the information including the photo.
  2. Capture additional information that is important to your organization in identifying the visitors, information such as company affiliation, employee being visited, category of visitor such as a contractor as opposed to a day visitor.
  3. Screen out unwanted visitors with Watch Lists or external lists such as each state's sex offender database or the Government Denied Parties Database.
  4. Provide a professional visitor badge that is customized to include the information most pertinent to you in identifying the visitor.
All this can take place in a matter of 30 seconds or less per visitor.

With visitor software you can also create alerts so that you can take certain actions based on visitor behavior, for instance, knowing when a visitor badge has expired but that person has not yet checked out.

For unattended lobbies visitor management can operate in a stand-alone kiosk mode for visitor self registration.

The use of a visitor system allows you to do much more than only creating visitor passes. EasyLobby visitor registration software is used at thousands of organizations around the world.

How to Create Visitor Badges That Are Most Useful For Your Environment

Monday, October 10, 2011 by John Murzycki

Badge Software

Creating a visitor badge for every guest who enters your facilities is a great way to improve visitor security and enhance the reputation of your organization as one that is well-run and concerned about its guests and employees.

A pen and paper guest sign in lacks professionalism and has glaring problems for today's lobby management.

So how can you maximize the use of using visitor passes so that they are most effective in your particular environment?

Because a visitor ID badge should contain the type of information that is most helpful to identify the guest and ensure they are where they should be in your facilities, here is a list of items that you should consider when developing badge templates:
  • Include the check in time and expected check out time on each badge. This corresponds to the "from" "to" time on visitor check in.
  • Put the name of the employee that the guest is visiting, and possibly the photo of the employee. Also add the location (such as floor or conference room) that the guest is expected to visit.
  • Highlight on the badge whether the guest is required to be escorted by an employee.
  • Put a photo of the visitor on the badge by scanning it from their license or taking a photo with a web cam.
  • Barcodes printed on a visitor pass can be used for a number of important reasons. They enhance check out by speeding the process; they can be used to determine if the visitor is allowed access to more secure areas of the facility, as determined by the clearance level granted to them during the time of their check; and with EasyLobby's access control integration, the visitor ID badges can be used to open doors controlled by the access control system.
  • The use of a self-expiring badge allows you to determine if a badge is from a previous day. These badges bleed through a red stop sign after 6 hours.
  • Use a different color on badges for each day of the week. It's another way to highlight if the badge was issued on a particular day rather than a previous day.
  • Create different styles of badges for different categories of visitors such as contractors versus temporary employees, versus day visitors, or whatever category is important for you to highlight.
  • Use an employee pre-registration feature to allow employees to register guests before they arrive. This saves time collecting visitor information during visitor sign in.
  • Give careful consideration to the most important fields you wish to display on a visitor badge. Is company affiliation important? Do you want to include the business title of the guest? What about the purpose of their visit? Basically just about any fields that you complete during visitor check in can be put onto a visitor badge. Just be sure that it enhances how you are managing visitors and identifying visitors at your facilities.
EasyLobby visitor software can accommodate many different options when creating a visitor pass to ensure it is both functional and professional.

How Hospitals Use Visitor Registration Software to Protect Patients, Staff and Visitors

Friday, October 7, 2011 by John Murzycki

Visitor Monitoring Software for Hospitals

Hospitals and healthcare facilities are unique in many respects from other types of facilities. They have large numbers of visitors entering and exiting at all hours and guests who want to visit a patient without delays.

So on first glance one might think that hospitals are a poor choice for the use of badge software.

But the fact is that hospitals, like many other types of organizations, need to account for who is entering their facility, professionally manage the guest sign in process, and to screen for unwanted visitors.

An ID badge system that is able to accommodate a large number of visitors and not be obtrusive or cumbersome when processing visitors for entry is one primary requirement.

EasyLobby badge ID software is able to scan a visitor ID such as a driver's license and produce a professional visitor pass in 20 seconds or less per guest.

Another important requirement for hospitals is to integrate their visitor system with other hospital systems to speed the visitor sign in process.

EasyLobby visitor software is integrated with major hospital systems such as HL7 for real-time patient feeds, Status Blue for pre-registered approved vendors, and access control integration to 45 of the leading security management systems.

Many hospitals use the option of screening unwanted visitors such as each states' sex offender database. This feature will automatically alert the lobby attendants to any visitor on the database within seconds of check in at an EasyLobby visitor registration system.

Visitor badges are a visible element of visitor systems at hospitals as well as other environments. So the ability to customize these visitor passes in a hospital environment is important.

EasyLobby is able to produce a more durable visitor badge for guests who are visiting a patient frequently and over a period of time. The badge can be a laminated badge and contain a barcode that can be scanned upon the return of a guest for rapid check in without the need to provide visitor information again.

The use of customizable alerts also plays into the use of visitor management software at hospitals. EasyLobby is able to provide a number of different alerts, including a maximum visitor alert. This will notify the lobby attendant when the number of visitors to a particular patient has exceeded the defined limits.

There are many more customizable visitor registration features of an EasyLobby system for hospitals and other types of environments. To find out more, register for a free, personalized online web conference.

In about 30 minutes we will demonstrate the visitor management capabilities that are most applicable to your particular environment.

How to Monitor Visitors Using Visitor Software

Monday, October 3, 2011 by John Murzycki

Badge ID Software

Many organizations today are controlling access to their facilities using a visitor registration system.

The benefit of such an approach allows for better management of visitors, the ability to screen against unwanted visitors and a more professional approach to guest sign in.

By identifying and requiring all visitors to wear a visitor badge you are able to identify and track all visitors.

Visitor tracking software automates the entire process of visitor sign in. Professional lobby management begins with having a understanding of what visitor information is most important for your organization. You can quickly scan a visitor ID such as a driver's license and within seconds print a professional visitor pass.

You can create alerts so that you can take certain actions based on visitor behavior. For instance, you may want to know the first time a contractor checks in so that you can have them complete certain paperwork or take a safety test. Or you may want to do this after a select number of visits.

For an increased level of lobby security a visitor system can flag visitors against an internal watch list or external databases such as each states' sex offender database or the Government Denied Parties database.

Plus with capabilities such as visitor self-registration using a Kiosk, integration with access control systems to provide proximity card access to guests, and the ability to tailor the system for your specific requirements, badge software can result in a tremendous improvement over a paper guest book.

EasyLobby visitor registration software has a great deal of flexibility in using the system for your needs, is extremely feature rich, and is easy to use and install.

How to Improve Visitor Management at Your Facilities

Friday, September 30, 2011 by John Murzycki

Visitor System

Identifying exactly who is in your facilities and the reason why is one of the important functions of a professional visitor registration system.

Visitor software helps you better manage the flow of visitors who enter your buildings, it improves visitor security and improves lobby management.

With EasyLobby badge software you can create professional visitor passes for all guests.

ID card software allows you to quickly scan a visitor ID such as a driver's license of a guest and electronically capture the information without typing.

You can also monitor the reason for the visit, employee being visited, category of visitor, or any other information that is important to your organization.

Keeping unwanted visitors out of your facilities is also an important function of visitor registration software. You can create internal watch lists of individuals you want to flag as not being welcomed in your building. These might include disgruntled former employees, competitors, or other malicious individuals. You can also screen visitors against external databases such as each state's sex offender database or the government denied parties list.

With EasyLobby's integration to over 45 access control systems, it is easy to provide proximity card access to temporary visitors using the lobby system. During guest sign in you can allow their visitor badges to open doors, turnstiles or elevators controlled by your access system.

EasyLobby has many visitor management solutions that can be tailored to your specific requirements. Find out more by registering for a free, personalized online web conference.

Why Use a Visitor System?

Wednesday, September 28, 2011 by John Murzycki
Visitor Badges
In many organizations, visitors entering a secure building are able to gain entry by simply writing their name in a paper guest book.

Not only is this procedure not a secure way to be managing visitors, but the data is usually incomplete, often difficult to read, and always impossible to analyze.

Perhaps more significant, confidential information concerning guest sign in names listing who has visited the organization is out in the open and readily available to anyone who wants to flip through the book's pages.

We believe that organizations can do much better. In the process they will enhance their image as a professional organization concerned about visitor security and the safety of all guests and employees.

With EasyLobby visitor registration software you can electronically scan a visitor ID such as a driver's license or business card and print a professional-looking visitor pass. All relevant information about the visitor is captured in a secure visitor log file.

In 20 seconds or less the visitor is professionally checked in and you have a record of who has visited your facilities, the purpose of their visit, the host employee, and other information that is relevant to your particular environment.

Our badge ID software also allows you to use a variety of alerts so that you can take certain actions based on visitor behavior. For instance, you may want contractors to take a safety exam after their second visit, or have prospective partners sign a non-disclosure agreement after their third visit.

You can screen unwanted visitors using a watch list feature. These are individuals or companies that you place on the list - those who you do not want entering your facilities. An example may be a disgruntled ex-employee, a known malicious person or an unscrupulous contractor.

You can also screen against external databases such as each state's sex offender database. A match of someone trying to enter your building will alert you within seconds of visitor sign in.

Our badge software also integrates with over 40 of the leading access control systems. This allows you to provide security visitor badges, or proximity cards, to allow guests or contractors the ability to enter locked doors controlled by your access system. This avoids the necessity of having an employee always escort the visitor. This integration also allows you to easily provide a temporary access card to an employee who has forgotten their employee badge.

In about 30 minutes we will guide you through the features of visitor software that are most pertinent to your particular requirements.

EasyLobby Visitor Systems Displayed at ASIS Orlando

Thursday, September 22, 2011 by John Murzycki

Visitor Management at ASIS 2011

A number of us at EasyLobby just returned from the annual ASIS International Security Conference. It was a busy three days, and we had the opportunity to take part in many great discussions about visitor software with those attending the show.

Here are a few subjective observations.

Interest in security products is very high. Attendance at the event was strong, and most everyone we spoke to were not limiting their anticipated purchases because of the economy or business forecasts.

Visitor management software was an important function that many security managers wanted to discuss and find out more.

Most of the people we spoke with knew about EasyLobby visitor passes and sought us out to see a demo of our software.

Many of the features in our badge software were particularly important to those visiting our booth, features such as access control integration, watch lists, pre-registration by employees and the ability to customize visitor badges.

Most everyone at our booth wanted a demo of the visitor registration software so that they could see how it operated.

If you were not able to attend the conference you can still see our software in action by registering for a free, personalized online web conference.

In about 30 minutes we will demonstrate the lobby management software features that are most appropriate to your particular environment.

The August 2011 issue of Campus Safety Magazine highlighted the use of visitor registration at healthcare facilities.

The article, bylined by EasyLobby, focuses on the benefits that hospitals and healthcare facilities achieve by managing visitors with badge software.

"Healthcare organizations are today adapting to changing conditions and what it means to have an open facility. Like institutions in many different fields, healthcare facilities are increasingly using an electronic visitor management system to control and monitor guest access."

The article states that some of the most prestigious and largest healthcare campuses in the country are using visitor management software to screen, badge and track every visitor and vendor entering their buildings. Consequently, they are able to identify each and every guest from a driver's license scan, capture that information securely while keeping it confidential from other visitors, and provide a unique visitor badge that looks professional.

The article reviews the benefits of badge ID software integration with important healthcare systems such as HL7 for real-time patient feeds, Status Blue for approved vendors, and access control integration.

Screening visitors against either internal or external watch lists are also a key part of visitor software for hospitals.

"Healthcare facilities vary widely in their needs and requirements for visitor management. Because of the flexibility in the way it can be used, the expandability to include more entry points, and a range of features of a professional visitor system, healthcare facilities of all sizes and needs are able to adapt visitor registration software to improve overall visitor security and enhance the professionalism of their organization."

Problems and Solutions of Visitor Management Software: Using it in a Food Distribution Environment

Electronic Visitor Management System for Food Distribution

Food distribution is an important but very specialized market. Like many other specialized markets, we are often asked about the appropriateness of using a visitor system in that particular environment.

While the requirements of each type of organization will vary, we thought that a good topic of today's article would be to discuss the use of visitor registration in a very focused field such as food distribution.

Problem:  Can visitor tracking software be helpful to my requirements as a food distribution organization?

Solution:  Industries such as food distribution companies have very specific requirements to monitor and track all visitors who enter  their facilities. These requirements are the result of FDA regulations on the protection of the nation's food supply under the bio-terrorism rule.

Because of this, many food distribution companies will use EasyLobby for their badge software.

At many of these facilities visitor systems are used at both the corporate and the distribution facilities. These organizations monitor the arrival and departure of trucks and drivers in the distribution facilities.

As a result of using visitor software in their facilities, food distribution companies effectively comply with Federal regulations by recording and reporting on all guest sign in activity and tracking exactly which individuals and vehicles have entered or left a facility.

A visitor log in our software is able to track all visitors and make that data readily accessible in reports.

Food distribution companies using visitor registration software are also able to reduce costs by monitoring the exact arrival and departure of each truck. By having this exact log they are often able to dramatically reduce the detention fees typically charged by third-party shippers for drivers that were delayed at the facilities. The distribution company is able to challenge any unwarranted detention fees.

Although this article is specific to the use of visitor control software in a food distribution environment, our software can help many different types of organizations in their efforts to professionally manage visitors and improve visitor security.

Visitor Registration Problems and Solutions: Using it in a College and University Environment

Tuesday, August 30, 2011 by John Murzycki

ID Card Software for Colleges and Universities

Some environments such as college and university campuses have unique challenges when using visitor software. So let's deal with the feasibility of using it in a campus environment.

Problem:  With a campus environment that encompasses many different buildings, open areas, and different school facilities, how realistic is it to consider using visitor registration software?

Solution:  The way you use a visitor system will depend greatly on the type of environment. But managing visitors professionally and securely in an open campus environment is just as important as a single-entry office.

It's important to know what you are trying to accomplish in an open campus environment and what is practical. The buildings that are more prone to theft, vandalism, or other problems from unknown guests are the locations to assign a priority to the use of badge software.

Protecting campus dormitories from unknown or unwanted guests are probably one of the highest priority areas for any college.

Enhancing visitor security at college and university campuses begins with knowing who is visiting buildings on campus.

By installing visitor systems in campus dormitories and other high risk buildings you have the ability to monitor and control all guests who are entering those buildings.

Visitor tracking software allows you to track students who are visiting another student's residence hall and track and provide a visitor ID badge to all non-student visitors.

Screening of visitors on each states' registered sex offender database can also be used. During a guest sign in, the lobby attendant will be notified if someone on a list tries to check in. Automatic email alerts can also be sent to security personnel.

You can also decide if you want visitors to wear a school visitor badge before entering certain other facilities such as a library or administration buildings.

Protecting students, administrators and faculty require that educational institutions develop specific processes for the use of visitor management software. As a result, you will have an environment that is secure, yet the visitor management system will not be a burden or a hardship for administrators or guests.

EasyLobby school visitor software is currently used a many leading educational facilities across the country.
