Now Is A Good Time To Review Your Visitor System

ID Badge System

When was the last time you evaluated the effectiveness of your visitor registration system?

At many facilities the answer is, "Far too long."

But there are many opportunities for improving the way you are managing visitors that will both improve visitor security and enhance the professionalism of your organization. And you should periodically take advantage of the opportunity to do so.

First of all, if you are still using a paper guest book for visitor sign in, then you are definitely not getting the most out of your visitor management techniques.

EasyLobby badge software provides a great deal of flexibility and customization, allowing you to capture exactly the information you need, knowing who is in your buildings and why. You also will be able to improve the processes for dealing with visitors.

It's a good idea to evaluate the visitor software functions that you are using, and which ones you are not. Here's a brief list of things to evaluate and consider:

What information are you including on visitor badges? Do you include a barcode for easy check out with a simple scan? What about the visitor's photo scanned from their driver's license or taken with a web camera? Remember, the visitor badge is one of the most visible aspects of visitor registration, so take every opportunity to make sure it is professional as well as functional.

What alerts are you using? Visitor systems allow you to incorporate a wide variety of alerts so that you are notified of specific visitor activity. One example is an alert on expired badges so that you know when a badge has expired but the visitor has not yet checked out.

How are you screening unwanted visitors? Do you create watch lists in your lobby system so that the attendant can be alerted about someone trying to check in that you do not want to enter your facilities. These might include disgruntled former employees, unwanted contractors, someone from a competing company or any other categories.

Have you integrated your visitor management with your access control system? This will allow you to provide temporary proximity card access to guests and contractors through your visitor system.

Do you produce reports to analyze visitor activity? This is a great way to determine if there are trends that will allow you to operate more effectively or improve lobby security.

These are some of the visitor management software improvements that you may want to consider. Find out more by registering for a free online web conference.

How to Format Visitor Passes for Different Categories of Visitors

Tuesday, October 4, 2011 by John Murzycki

Visitor Pass

Badge ID software gives you a wide choice of options when configuring and designing visitor badges.

Developing different badge templates for various categories of visitors is often helpful. You can choose the category of visitor that is appropriate to your environment - contractor, day visitor, customers, interns, etc.

A different ID badge template for each category is a good technique to allow you to easily identify visitors of a particular segment.

Here's how to accomplish this in EasyLobby visitor software:
  • Decide which visitor category you want to format badges.
  • Decide the different design elements you want to include in that badge category - color, photos, text, visitor data fields, and other elements.
  • In EasyLobby's visitor management software go to the 'Edit / Badge Options' menu. After choosing your site and your station from the site and station drop down boxes, pick the visitor category from the category drop down box.
  • Choose a badge template from the 'badge' drop down box, or choose 'customize' to use the free-form tool in our badge maker software to design your own badge. Click 'apply' when satisfied. Choose preview to view the badge. If satisfied, choose 'OK'.
  • Repeat the above steps choosing another category of visitor.
During guest sign in the visitor badge that you've chosen for that particular category will print.

Badge Software Problems and Solutions: The Feasibility of Using it at Multi-Tenant Facilities

Thursday, August 18, 2011 by John Murzycki

Visitor Registration for Multi-Tenant Facilities

Buildings with many different commercial or residential tenants may not be viewed as a prime location to use visitor registration software. So let's explore that issue in today's problems and solutions article.

Problem:  Is it practical to check in visitors with an ID badge system at a multi-tenant facility with many different commercial or residential customers?

Solution:  While it might appear to be difficult to provide visitor badges for guests arriving at a multi-tenant facility with many different tenants, it is quite similar to using a visitor registration system at a facility with a single organization.

The key is that the system needs to work smoothly and easily with a variety of different tenants so that you can easily identify which tenant the guest is visiting.

EasyLobby solutions are used at some of the largest multi-tenant buildings in the country. The fact is, regardless of the size of the facility, or the number of different tenants, a visitor system can improve security to the building and enhance the professionalism of greeting visitors as they arrive in the lobby.

When using visitor management for a commercial multi-tenant facility you want to be able to customize the badge templates to produce a unique design for each tenant. Visitor passes can be printed with the tenants logo, company name, floor number, and any other number of customized techniques on the badge.

Having badge ID software that allows you to develop pre-defined badge templates help you easily choose one of them when a visitor arrives for say XYZ company. This way there's no delay or design work that needs to be done at the time of guest check in. Whenever a visitor for XYZ company arrives, you select that company on a drop-down list and an ID badge template customized for XYZ company is automatically selected and printed.

Many multi-tenant properties use a feature of our system that allows them to track packages and assets that are either delivered or loaned out from the front desk. Our package and asset management tool is a standard option in our visitor software.

Using EasyLobby eAdvance - a web based pre-registration option, individual tenants can pre-register guests they know will be arriving, further simplifying the check in process. In fact, at some multi-tenant properties that is the only way guests are allowed into the building.

Our system of automatic email alerts can also be used to notify the tenant when a guest arrives and is waiting for them in the lobby.

Read a success story of an EasyLobby installation in use at a residential multi-tenant property at Plaza South Condominiums in Fort Lauderdale.

For a commercial multi-tenant installation, read about 10 Universal City Plaza, One Gateway Center, or The American General Center.

Visitor Management Security Problems and Solutions: Focus on Healthcare Facilities

Wednesday, August 17, 2011 by John Murzycki

Using A Visitor System in Healthcare and Hospitals

Healthcare facilities have their own unique set of challenges when using visitor software. In today's problems and solutions article we review ways to improve visitor security in a healthcare and hospital environment.

Problem:  Is visitor badge software really practical for hospitals and healthcare facilities? We have always considered ourselves to be an open facility that does not lend itself to this type of application.

Solution:  It's easy to understand why some people may feel that hospitals and healthcare environments are not a good fit for visitor registration software. But the truth is that most every organization today needs to monitor who is entering their buildings and the reason why.

Healthcare facilities are no exception, in spite of many of them having a high volume of visitors.

Some of the country's largest and most prominent healthcare facilities currently use EasyLobby visitor management to secure their facilities and screen, badge and track every visitor and vendor entering the building.

These organizations can process visitors in and out of the facilities quickly, screen against unwanted visitors, manage the maximum number of visitors to specific patients at any one time, and monitor all guest sign in.

A lobby attendant can scan a visitor ID such as a driver's license, capture all necessary information on the visitor, and create a professional visitor badge in less than 20 seconds per visitor.

Kiosk mode stations can also be located in a lobby so that guests can self-register.

An important aspect of EasyLobby visitor systems is that they are able to integrate with other hospital information systems. Some of the more significant integrations include:

HL7 for real-time patient feeds:  Lobby attendants are able to view real-time patient admissions and discharges, allowing them to match the patient that the visitor is seeing and include that on a visitor pass.

Status Blue:  This includes a list of the approved vendors for the healthcare facility. The lobby attendant will be ale to access this information and know whether an arriving vendor has been pre-approved by the facility.

Access Control Integration:  Contractors can be provided with access to locked doors controlled by the facility's access control system, allowing them to enter areas without the need of being escorted by an employee.

Also, with the option of sex offender screening, the healthcare facility can screen against individuals on each states' sex offender database, and to take appropriate action if an individual tries to enter the facility.

One of the visitor management techniques that healthcare facilities can use is the maximum visitor alert feature, allowing the facility to limit the number of guests to specific patients, such as those in intensive care.

Our badge ID software can be used to provide extended visitor badges for family members who may be visiting patients frequently over a long period of time. Whenever that guest arrives a simple scan of a barcode on the badge will check them in.

For more information about using visitor management software in a healthcare facility, register for a free, personalized online web conference.

In about 30 minutes we will demonstrate the features that are most helpful to a healthcare facility, or for your particular environment.

Uncomplicated Badge Software Techniques for Professional Visitor Management

Thursday, July 7, 2011 by John Murzycki

ID Card Software

Using visitor management software does not have to be difficult or complicated. In fact, EasyLobby visitor software is easy to use and simple to install.

Although our lobby system has a range of different options that allow you to tailor it to exactly how you want to be managing visitors at your facilities, you can use a number of simple capabilities to help you improve lobby security and improve the professionalism of your organization by doing away with an outdated guest book for visitor sign in.

Include a photo of the visitor on the visitor badge by scanning it from a visitor ID such as a driver's license or by taking a picture with a web-cam. You can also scan a business card to capture additional information about the individual such as their company and business contact information.

Set alerts in your visitor tracking software so that you will know when visitor badges have expired but the guests have not checked out, or when a guest on your watch list attempts to check in.

Decide if you want employees to pre-register guests who are scheduled to arrive, thereby alleviating backups in the main lobby.

If you have an unattended lobby, you can operate your visitor registration in an unattended mode with a Kiosk so that visitors can self-register.

For guests who will enter your facilities unescorted by an employee, integrate your badge ID software with your access control system so that you provide a visitor software badge that works with your access control system by accessing doors, elevators and turnstiles controlled by the access system.

Include barcodes on visitor passes so that your lobby attendants can quickly check out visitors with a simple scan.

Be sure you are collecting the right information about each visitor, and include the information on a visitor pass so that those in your organization are able to quickly and easily identify the visitor by category, restrictions such as escort required or first floor entry only, and any other number of identifying elements that are important to your environment.

These, and many more features are available with EasyLobby visitor systems. And they can all be included simply and easily.

Find out more by registering for a free, personalized online web conference.

In about 30 minutes we will demonstrate the features of our ID badge system that are most pertinent to your particular environment.

The Benefits of Using Visitor Badges with Barcodes

Wednesday, June 29, 2011 by John Murzycki

Badge ID Card Software

Visitor tracking software offers a number of capabilities to help the process of managing visitors more effectively and more professionally. A technique using barcodes on visitor badges is one of them.

Barcodes on visitor passes offer a number of advantages, but are often overlooked when designing an ID badge template.

EasyLobby badge software makes it easy to include barcodes on a visitor ID badge.

The use of barcodes allow you to quickly scan a visitor pass during check out to automatically sign out the guest. This is particularly useful in a busy lobby that is using visitor registration to check in and check out visitors.

A frequent visitor to a facility can be provided a more permanent visitor badge with a barcode which will allow the lobby attendant to scan in the badge when they re-enter the facility. The EasyLobby visitor system will recognize the barcode and check them in.

Because EasyLobby's badge ID software creates a unique barcode for every visitor, you simply choose one of the badge templates with a barcode (or include the use of a barcode in the badge designer tool). You don't have to be concerned about the creation of a unique barcode for every visitor - our visitor software takes care of that.

EasyLobby visitor management software makes it easy to customize badges. We also include many tools that allow you to manage visitors professionally.

Badge Software Can Monitor Guests at Your Facilities

Tuesday, June 14, 2011 by John Murzycki

Visitor Tracking Software

Are you effectively managing visitors at at your facilities and providing a professional process for guest sign in?

If you are still using a paper guest book for visitor sign in, the answer is, "Absolutely not."

A professional approach to visitor registration in your organization should include a few basic techniques such as:
  • Automatically scan detailed visitor information in seconds from a license, business card, passport or other visitor ID without typing
  • Print professional visitor badges that can be customized for your needs
  • Analyze visitor data
Visitor software from EasyLobby allows you to identify and track all guests entering and leaving your buildings. It's a professional approach to lobby management and improves your image as an organization that handles visitors professionally and one that is concerned about visitor security.

Badge ID software from EasyLobby also allows you to integrate your lobby system with your access control system to provide visitors with proximity card or barcode access to doors controlled by the access system.

You can create watch lists with visitor management software so that you can screen out unwanted individuals from entering your building.

By providing all guests, even contractors, with a visitor ID badge you are able to easily identify all non-employees. Visitor passes can even be customize for different categories of visitors so that they look different for a contractor, versus a day visitor, versus a temporary employee - whatever category that is appropriate for your environment.

Even if you have an unattended lobby you can run your visitor management in an unattended kiosk mode so that guests self-register prior to entry.

A Visitor System That Works With Your Access Control System

Monday, June 6, 2011 by John Murzycki

Lobby Management Working in Conjunction with Access Control

Many EasyLobby customers choose to provide visitor badges to all guests, and to have those guests escorted in their facilities by an employee.

However, some organizations want the flexibility of providing visitors access to their buildings without an escort. This is especially true of contractors who might need access to many different areas of the building.

In those cases it is often necessary for guests to be able to open doors controlled by the organization's access control/security management system.

EasyLobby gives customers this flexibility.

Our visitor software is tightly integrated to nearly 40 of the leading access control systems.

This means that organizations are able to provide visitors with proximity cards that will open doors controlled by the access system. As a result, our visitor management software works in concert with the specific access control system.

Customers can grant temporary visitor passes with a proximity card or include barcodes on the visitor badge that will open doors controlled by the access control system without the need of an employee escort.

The benefit of this integration is that lobby attendants do not need to interface with the access control system - something generally not preferred. They activate a visitor ID badge directly from the EasyLobby ID badge system.

Our access control integration white paper provides the details of how our lobby system works in conjunction with access control systems.

And here is a complete list of all the access control systems that EasyLobby badge software is integrated with.

Visitor Badge Techniques to Consider

Monday, May 2, 2011 by John Murzycki

Visitor Software

An ID Badge system from EasyLobby can greatly enhance how you are managing visitors at your facilities.

Here are some techniques to consider when using badge ID software.

Include the photo of the guest on their visitor pass. This allows you to quickly and easily identify the visitor and validate they are wearing the correct visitor ID badge.

Use alerts as part of the visitor registration process. This allows you to take certain actions based on visitor behavior, such as requiring a contractor to take a safety test when they are entering the facility after a specified number of times.

For an increased level of security use internal or external Watch Lists. Examples of internal watch lists include individuals or organizations you have identified as not welcomed in your building, such as competitors or disgruntled former employees. External watch lists can include sex offender screening or Government Denied Party list.

Visitor activity reports allow you to monitor your visitor systems and take appropriate action to improve the guest sign in process, or to identify specific visitors who have checked in or checked out.

Color code visitor badges by category of visitors so that you can easily identify the type of visitor - contractor, temporary employee, day visitor, etc.

Include barcodes on visitor passes, allowing you to scan the badge for rapid check out.

Allow employees to pre-register guests. This saves time at a visitor system during visitor check in.

Integrate your visitor management software with your access control system, permitting you to grant temporary proximity card access to guests.

EasyLobby provides all these features plus many others. To find out more about our visitor management solutions, register for a personalized online web conference.

In about 30 minutes we will demonstrate the features of our badge software that are most appropriate for your particular requirements.

Badge Software that Can Notify You About Expired Visitor Badges

Friday, April 29, 2011 by John Murzycki

Visitor Badge

EasyLobby visitor software is able to alert you about guests whose visitor ID badge has expired but who have not checked out of the building.

When visitors are checked in by our visitor system, the lobby attendant can specify a length of time that the visitor pass is valid.

When that time has expired, and the guest has not yet checked out, our badge ID software can be set-up to automatically send an email or text message notifying you that the badge has expired but the guest has not yet left. Other individuals can also be notified, such as the employee who is meeting with that visitor.

The expired badge alert in our visitor tracking software is part of a series of different alerts that you can use to improve lobby management so that you are notified about changing situations.

An expired badge alert allows you to investigate the reasons why a visitor has extended their stay beyond expectations and why they have not checked out of the building yet.

Organizations that follow positive visitor management techniques will use a variety of alerts in their visitor management software to improve visitor security at their facilities.

For more information about using a lobby system in your environment to enhance how you are managing visitors register for a personalized online web conference.

In about 30 minutes we will demonstrate the visitor badge techniques that you can use to improve your image as a professional organization and enhance the visitor registration process at all your facilities.

A Visitor System that Controls Entry to Selective Areas of Your Facilities

Thursday, April 14, 2011 by John Murzycki

ID Card Software

One of the visitor management techniques that some customers employ is establishing areas that require greater visitor security than the rest of their facility.

An excellent option for those customers is EasyLobby Satellite, which is used to protect high security areas from unwanted visitors.

Satellite is one of the products of EasyLobby's visitor management software, and it allows more precision in how you are managing visitors.

This solutions lets you control and monitor entry and exit at any location for guests who have already received a visitor ID badge at an EasyLobby visitor registration station.

Satellite is part of a suite of EasyLobby visitor software solutions that helps customers improve visitor management security at their facilities.

To gain access to a secure area, the visitor is first provided a visitor badge during guest sign in at one of EasyLobby's visitor management stations. It is here that visitors are given a security clearance level that will either permit or deny entry to the secure areas.

Upon arrival at a secure area, the barcode on the visitor pass is scanned by the Satellite station to determine if entry by the visitor has been approved.

Learn more about Satellite, as well as the many other features of EasyLobby's visitor systems by registering for a personalized online web conference.

In about 30 minutes we will demonstrate the features of our badge software that are most appropriate to your particular requirements.

EasyLobby Demonstrates Visitor Management Software at Healthcare Expo

Tuesday, March 29, 2011 by John Murzycki

Visitor Badges for Healthcarevisitor system for healthcare

EasyLobby was one of the select companies exhibiting at a healthcare expo sponsored by the International Association of Healthcare Security and Safety (IAHSS) and by Niscayah.

The title of the expo was "The Challenges for Security in a Changing World," and it was held on March 25, 2011 at the Connecticut Convention Center.

The event was a great opportunity for EasyLobby to demonstrate visitor software for the healthcare industry.

Because EasyLobby visitor systems are able to integrate with other hospital information systems, it is easy for guest sign in to take place without the need to access other databases.

Some of the more important visitor registration integrations include:
  • HL7 for real-time patient feeds: Lobby attendants are able to see real-time patient admissions and discharges, allowing them to match the patient that the visitor is seeing and include that on a visitor badge.
  • Status Blue: This is the list of approved vendors for the healthcare facility. The lobby attendant will be able to access this information and know whether an arriving vendor has been pre-approved by the facility.
  • Access Control Integration: Contractors can be provided with access to locked doors controlled by the facility's access control system, allowing them to enter areas without the need of being escorted by an employee.
Another helpful technique to use with EasyLobby visitor management is the maximum visitor alert. This feature allows hospitals to limit the number of visitors to a particular patient, for example a patient in intensive care. The EasyLobby visitor system will automatically alert the lobby attendant when a maximum number of visitors have checked in for a particular patient.

With the option of sex offender screening in the EasyLobby visitor tracking software, the healthcare facility can screen against individuals who are on each states' sex offender database, and take appropriate action if an individual tries to enter the facility.

For more information about EasyLobby ID card software for healthcare, or other environments, register for a free, personalized online web conference.

In about 30 minutes we will demonstrate the features of our lobby system and highlight the capabilities that are most significant for your particular needs.

School Visitor Software Used at College Campuses

Tuesday, February 22, 2011 by John Murzycki

ID Badge System at Colleges and Universities

Visitor security at college campuses starts with knowing who is visiting buildings on campus.

Professional visitor management by EasyLobby has the ability to monitor and control all guests who are entering college buildings, especially college residence halls.

EasyLobby visitor software can track students visiting another student's residence hall, and track and provide a visitor ID badge to all non-student visitors.

Our screening of visitors on each states' registered sex offender database can also be used to flag those visitors at the time of guest sign in.

Although visitor registration is one of several security issues that college campuses need to address, it is certainly an important one. Because most college campuses are an open environment with many people moving about the campus, it is critical that school officials monitor visitor and guest activity at all campus facilities.

Visitors to campus should be required to wear a school visitor badge that was issued when they were checked at a visitor registration station.

Protecting students, administrators and faculty requires that educational institutions develop visitor management techniques that are secure, yet work smoothly and easily at a variety of campus facilities.

EasyLobby visitor management software is currently in use at many of the nation's leading educational facilities.

For more information about using visitor badges at colleges and universities - or at your particular environment - register for a free, personalized online web conference.

Hospitals Protect Patients, Staff and Visitors with Visitor Management Software

Wednesday, February 16, 2011 by John Murzycki

Visitor ID in Hospitals

Many hospitals and healthcare facilities are using EasyLobby visitor tracking software to professionally manage visitors at their facilities.

Because hospitals have unique requirements for managing visitors, it's important that they use an ID badge system that is able to accommodate a large number of visitors and not be obtrusive or cumbersome when processing visitors for entry.

EasyLobby visitor registration is used to process and create visitor passes for millions of visitors every month in hospitals throughout the country.

EasyLobby badge software integrates with a number of other hospital systems, including HL7 for real-time patient feeds, Status Blue for pre-registering approved vendors, and access control integration to 35 of the leading security management systems.

Many hospitals use the option of sex offender screening in EasyLobby's visitor software. This feature will automatically alert the lobby attendants to any visitor on that database.

One of the visitor management techniques often used at hospitals is the maximum visitor alert, which allows the hospital to limit the number of guests to specific patients.

Our badge ID software makes it easy to provide extended visitor badges for family members who may be visiting patients frequently or over a long period of time. Guest sign and and check out is thereby simplified.

Food Distribution Organizations Protect Facilities with Visitor Systems

Monday, February 14, 2011 by John Murzycki

ID Badge System

Industries such as food distribution companies are required to monitor and track all visitors who enter their facilities. These requirements are the result of FDA regulations on the protection of the nation's food supply under the Bio-Terrorism Rule.

As a result of Federal Regulations, food distribution companies frequently will use EasyLobby for their visitor tracking software.

In many of these facilities EasyLobby is the visitor system used at both the corporate and the distribution facilities. Our visitor software is often used to monitor the arrival and departure of trucks and drivers in the distribution facilities.

Consequently, EasyLobby visitor management plays a major role in helping food distribution companies effectively comply with these regulations by recording and reporting on all guest sign in activity and recording exactly what individuals and vehicles have entered or left a facility.

EasyLobby's visitor log is able to track all visitors and make visitor sign in and check out data readily accessible in reports.

An added benefit of using EasyLobby visitor management software at food distribution facilities is a reduction in costs. By monitoring the exact arrival and departure of each truck, these organizations are able to often dramatically reduce detention fees typically charged by third-part shippers for drivers that were delayed at the facilities.

Using our visitor registration, the distribution facility is able to challenge any unwarranted detention fees.

Read our case study about how EasyLobby ID card software has helped a national food distributor.

In addition to food distribution, EasyLobby visitor management solutions are used in a wide variety of industries.

For more information how you can use visitor badges in your organization to improve your image and enhance how you are managing visitors, register for our free, personalized online web conference.

In about 30 minutes we will demonstrate the visitor management techniques that are most appropriate for your particular needs.
