Customize the Information You Capture in Your Visitor System

Tuesday, July 12, 2011 by John Murzycki

Visitor ID Badge Software

When using visitor software to monitor who is entering your facilities, you will want to customize it so that the information you collect from visitors is pertinent to your particular environment.

During guest sign in, many organizations capture the visitor's name, title, company name, and possibly additional contact information of the visitor such as their phone or address.

Many organizations use visitor management software to scan a visitor ID such as a driver's license or business card and capture the information on it, including the photo on a driver's license.

Additional basic visitor log information might include the name of the employee they are visiting, the purpose of their visit, and the category of visitor - say a day visitor, or an intern, or a contractor.

But organizations frequently want to capture visitor information that is very specific to their situation. And because organizations vary greatly in terms of the information that is important to them, you need a lobby system that you can tailor to your needs.

EasyLobby ID card software allows you to customize the kinds of data you capture from visitors.

With 12 user defined fields that you can use during visitor registration, you can obtain exactly the information that is best for your situation or environment.

For example, on the screen above, you can determine if this visitor has seen a safety video, the room number that she is visiting, and that she has requested and been supplied with a product brochure.

You can use these different user defined fields to customize the badge software with the questions applicable to your specific requirements. And you can determine whether the fields are text, drop-down menus or check boxes.

Like all other fields in our ID badge system, you can print just about any information you capture on a visitor badge.

An Electronic Lobby System Let's You Know Who is in Your Building. And The Reasons Why.

Monday, July 11, 2011 by John Murzycki

Visitor Systems

Many organizations have decided to use a professional visitor system because they want to know exactly who is in their building and the purpose of their visit.

Badge ID software helps organizations identify and monitor exactly who is entering and leaving their facilities. You decide what information is most important to your organization, such as the employee being visited, the category of visitor, their company affiliation, and a host of other criteria.

Visitor management software from EasyLobby is simple to use. Depending on the level of information you require from a visitor, a guest can be checked in within 20 seconds or less. That includes scanning their visitor ID such as a driver's license and printing a professional visitor badge.

You can analyze visitor traffic by generating customized reports in seconds.

Visitor registration is a good way to alert you to unwanted visitors. You can improve lobby security with Watch Lists to identify people you do not want in your facilities such as ex-employees or malicious individuals. You can also identify individuals on each state's sex offender database, often used in school visitor software.

For unattended lobbies use EasyLobby visitor management in a kiosk or unattended mode.

Many of our customers also tell us how important it is for them to maintain an image of a well-managed organization. Doing away with a paper guest book for visitor sign in and replacing it with visitor software helps them accomplish it.

Whatever your requirements for managing visitors, EasyLobby badge ID software can accommodate your needs.

Are You Using Visitor Registration at Your Remote Facilities and Field Offices?

Friday, July 1, 2011 by John Murzycki

Using Visitor Passes in Field Offices

Organizations often make the mistake of thinking that visitor management software is only used at their main facility. But visitor systems are also effective in remote facilities and field offices.

EasyLobby customers understand that visitor software at their main lobby improves visitor security, enhances their image as a professional organization, and allows them to be managing visitors more effectively.

While our badge software is used at many large buildings to help monitor and badge significant numbers of daily visitors, small outlaying branches can benefit by the same professionalism and security enhancements as the main facility.

You can even install an EasyLobby visitor system at a remote location in self-registration mode, alleviating the need of adding lobby attendants.

EasyLobby visitor management at field offices can be set up with the same watch lists, alerts, and ID badge template as the main facility.

With multiple locations, EasyLobby ID card software has a centralized database, including reporting and administration, which provides a record of every individual who has entered the field office.

So consider enhancing the guest sign in process in field locations by also providing professional visitor badges to those guests.

EasyLobby Visitor Systems Protect K-12 Schools From Unwanted Visitors

Tuesday, June 21, 2011 by John Murzycki

School Visitor Software

K-12 Schools put a high value on protecting students, administrators and teachers from unwanted visitors.

That's why visitor management and properly managing visitors is a high priority at most schools.

EasyLobby visitor software is used at many of the country's school systems. As one of the most economical ways for a school to dramatically improve visitor security, a visitor system allows the school to identify and monitor all visitors and provide visitor badges to all guests, contractors and volunteers in the school.

Visitor management software allows schools to limit entry as well as monitor entry of all guests to school facilities. An ID badge system allows them to apply a visitor pass to all guests and to flag unwanted visitors.

Professional visitor registration helps schools flag unwanted visitors by using a watch list feature. This can include external watch lists such as individuals registered on each state's sex offender database. EasyLobby ID card software will alert lobby attendants and administrators within seconds of guest sign in when someone on this list tries to check into the building.

Schools using EasyLobby badge ID software normally require all guests to wear a school visitor badge and to verify their identity during visitor sign in.

Schools are able to expedite visitor check in and out during busy morning and end-of-school times by using barcodes on visitor passes.

Badge software helps schools track the hours of school volunteers and other helpers, as well as contractors working at the school.

When students leave the school grounds, either because of lunch breaks, free periods or field trips, scanning their student ID cards with EasyLobby visitor registration software allows the school to keep track of who has left the building.

One of the more important features of EasyLobby visitor monitoring software is to keep track of who has custody of a student and the parent or caretaker who is allowed to pick them up after school and who is not allowed.

For more information about using EasyLobby visitor tracking software in a school, or other environments, register or a free, personalized online web conference.

In about 30 minutes we will demonstrate the features of our lobby system that are most appropriate for your particular environment.

EasyLobby School Visitor Software Featured in Security Management Magazine Supplement on Campus Security

Tuesday, June 7, 2011 by John Murzycki

Visitor Badge for School & Campus Environments

EasyLobby ID Card Software was highlighted in the June 2011 issue of Security Management in their special supplement on School and Campus Security.

The article states, "Professional visitor management software from EasyLobby can improve visitor security and increase the professionalism of the campus as a well-run facility that cares about the safety of the students, guests, and administrators."

EasyLobby visitor systems are used at many large and small campus environments, including Loyola University Chicago, which was also examined in the article.

"EasyLobby visitor registration software has helped make our campuses safer," said the manager of physical security for Loyola.

Visitor badges worn by all guests at a campus facility help identify visitors and allow administrators to know who has entered certain buildings.

Professional visitor management at college and university campuses starts with the ability to monitor and control all guests who are entering campus buildings.

EasyLobby visitor software can track students visiting another student's residence hall, and track and badge all non-student visitors.

Our screening of visitors on each states' registered sex offender database can also be used to flag those visitors at the time of guest check in.

Security Management is one of the leading industry publications addressing the security field. You can view the supplement here on School and Campus Security.

Electric Utilities Use Visitor Registration to Improve Security and Protect Assets

Friday, June 3, 2011 by John Murzycki

Badge Software at Electric Utilities

EasyLobby visitor management software is used in many different industries. Electric Utilities are an important industry to use our badge ID software.

In fact, some of the nation's largest electric utilities use EasyLobby visitor tracking software to protect people and assets.

Unlike many other industries, utilities are highly regulated. Consequently, they must comply with regulations to identify exactly who is in their critical facilities at all times.

EasyLobby visitor software helps them comply with these regulations.

With EasyLobby visitor systems, these utilities are able to quickly scan and badge large numbers of visitors and contractors at plant facilities - each in 20 seconds or less.

Although overall security, particularly visitor security, is a paramount concern, utilities also use EasyLobby to control costs by monitoring the time and attendance of contractors working during plant outages - both planned and unplanned outages.

By using EasyLobby visitor management for all guest sign in, our utility customers are able to log in the exact time that the contractor arrived at the plant and when he departs. This avoids the need for redundant systems to check in a contractor to monitor their time on the job.

Our ID card software is also able to screen out unwanted contractors at job sites. By creating watch lists, utility personnel at one location can be alerted to unwanted contractors who might not have performed to standards at another of their facilities.

A pre-registration feature of our visitor system allows employees to pre-register guests that they know will be arriving. This avoids the need for the lobby attendant to capture that information during their check in.

A variety of custom reports allow personnel to analyze visitor activity at any location and report on who has entered the facility.

Many of our electric utility customers format visitor badge designs so that they are able to visually see the different categories of visitors, say a contractor from a day visitor. Some larger utilities also customize visitor badges by plant location so that visitors to a particular utility have unique visitor passes from those of another location.

Some utilities choose to use our access control integration feature which allows them to provide contractors the ability to open doors controlled by their access system.

Read a case study of EasyLobby visitor control software at a large electric utility.

Our lobby system allows you to scan a visitor ID such as a driver's license, business card, or other form of identification to create professional visitor badges. No typing is necessary.

With hundreds of different badge templates and a badge creator tool, you have many choices to configure different types of visitor passes for your guests.

EasyLobby visitor systems can also be integrated with your access control system to provide visitors with a proximity card which will allow them to enter locked doors, elevators or turnstiles controlled by the access system.

Visitor Badge Techniques to Consider

Monday, May 2, 2011 by John Murzycki

Visitor Software

An ID Badge system from EasyLobby can greatly enhance how you are managing visitors at your facilities.

Here are some techniques to consider when using badge ID software.

Include the photo of the guest on their visitor pass. This allows you to quickly and easily identify the visitor and validate they are wearing the correct visitor ID badge.

Use alerts as part of the visitor registration process. This allows you to take certain actions based on visitor behavior, such as requiring a contractor to take a safety test when they are entering the facility after a specified number of times.

For an increased level of security use internal or external Watch Lists. Examples of internal watch lists include individuals or organizations you have identified as not welcomed in your building, such as competitors or disgruntled former employees. External watch lists can include sex offender screening or Government Denied Party list.

Visitor activity reports allow you to monitor your visitor systems and take appropriate action to improve the guest sign in process, or to identify specific visitors who have checked in or checked out.

Color code visitor badges by category of visitors so that you can easily identify the type of visitor - contractor, temporary employee, day visitor, etc.

Include barcodes on visitor passes, allowing you to scan the badge for rapid check out.

Allow employees to pre-register guests. This saves time at a visitor system during visitor check in.

Integrate your visitor management software with your access control system, permitting you to grant temporary proximity card access to guests.

EasyLobby provides all these features plus many others. To find out more about our visitor management solutions, register for a personalized online web conference.

A Visitor System that Controls Entry to Selective Areas of Your Facilities

Thursday, April 14, 2011 by John Murzycki

ID Card Software

One of the visitor management techniques that some customers employ is establishing areas that require greater visitor security than the rest of their facility.

An excellent option for those customers is EasyLobby Satellite, which is used to protect high security areas from unwanted visitors.

Satellite is one of the products of EasyLobby's visitor management software, and it allows more precision in how you are managing visitors.

This solutions lets you control and monitor entry and exit at any location for guests who have already received a visitor ID badge at an EasyLobby visitor registration station.

Satellite is part of a suite of EasyLobby visitor software solutions that helps customers improve visitor management security at their facilities.

To gain access to a secure area, the visitor is first provided a visitor badge during guest sign in at one of EasyLobby's visitor management stations. It is here that visitors are given a security clearance level that will either permit or deny entry to the secure areas.

Upon arrival at a secure area, the barcode on the visitor pass is scanned by the Satellite station to determine if entry by the visitor has been approved.

EasyLobby Visitor Tracking Software and INEX/ZAMIR Automatic License Plate Technologies Announce Integration

Thursday, March 31, 2011 by John Murzycki

Visitor Systems with License Plate Reader Technology

EasyLobby visitor management announced a product integration with INEX/ZAMIR Technologies, a worldwide supplier of automatic license plate reader equipment.

The integration lets users identify, monitor and manage vehicles as well as visitors at any facility.

Organizations using this technology can automatically capture license plate information with an INEX license plate camera and seamlessly link the data to the EasyLobby visitor registration software.

Users will be able to perform visitor sign in and identify the guest by either the visitor badge or the license plate.

The integration also allows automatic visitor check out. When a guest leaves the facility and the license plate number is captured, it is forwarded to the EasyLobby visitor system, matched, and the visitor is checked out without having to stop at the guard gate.

"This integration benefits our customers by adding another level of flexibility in managing visitors at a  facility," said Howard Marson, CEO of EasyLobby.

"A number of our customers conduct guest sign in at a facility with visitors who are still in their vehicle - for instance at a gate or guard shack. This application lets them identify both the people entering and leaving the facility and the vehicles entering and leaving the facility."

Jim Kennedy, President of INEX Technologies said, "This integration with EasyLobby visitor software offers a great opportunity to add a whole new category of capabilities to our product line through management of both visitor badges and vehicles."

The visitor registration and license plate reader module is available immediately from both INEX and EasyLobby.

EasyLobby's visitor management solutions also include employee pre-registration software, peripherals, including passport/driver's license/business scanners in addition to license plate scanners, badge printers, signature pads, barcode scanner, fingerprint readers, card readers and more.

A Case Study on EasyLobby Visitor Registration Software Highlighted in Security Management Magazine

Wednesday, March 23, 2011 by John Murzycki

Visitor Management System in HealthcareVisitor Management in Healthcare

EasyLobby was one of the companies featured in Security Management Magazine's March 2011 Supplement on Healthcare Security.

The case study about EasyLobby focused on visitor management software and improving visitor security at healthcare facilities.

A few excerpts from the article include the following. "Managing visitors at healthcare facilities can be challenging for a number of reasons."

"The fact is, most every organization today - healthcare facilities included - want to monitor who is entering their buildings and the reason why."

"That's why some of the largest and most prestigious healthcare facilities in the country use EasyLobby visitor registration to secure their facilities and provide visitor badges to every visitor during guest sign in."

"Because EasyLobby's visitor system is able to integrate with other hospital information systems, lobby attendants can easily provide a visitor pass to guests without taking the time to access other databases."

The case study also highlights the EasyLobby badge ID software being used at the Connecticut Children's Medical Center.

Connecticut Children's uses EasyLobby visitor systems to check in every visitor who enters their facility, at every entrance and provide them with a professional visitor ID badge. The visitor's name and photo are prominently displayed on visitor passes.

Visitor Software Versus a Paper Guest Book

Wednesday, March 16, 2011 by John Murzycki

Badge Software

We are often asked to explain the benefits of using visitor management software rather than a simple paper guest sign in book.

There are many differences. Among the many problems with visitor sign in books are:
  • Names are often not legible, or false
  • In an emergency it's almost impossible to determine who is still in the facility
  • Information in the books is readily available for everyone to see
  • A paper visitor log presents an image of lax security, thereby hurting the reputation of an organization
On the other hand, EasyLobby ID card software is a modern, efficient approach to improving visitor security by professionally managing visitors at your facilities. The reputation of the organization is also enhanced because visitors see the professional lobby system in place.

EasyLobby visitor management automates the entire process of creating a visitor badge. Our enterprise-class visitor system includes visitor tracking, reporting, and badge printing.

Organizations using EasyLobby can quickly scan a driver's license or other form of visitor ID and monitor who is  entering their building, the employee they are visiting and the purpose of their visit.

You can create alerts that allow you take action based on specific visitor behavior. For instance, you may want to know the first time a contractor checks in so that they can complete certain paperwork or take a safety test. Or you may want to do this after a select number of visits. The EasyLobby visitor tracking software gives you the flexibility of setting alerts to your preferences.

For an increased level of lobby security, our visitor registration system can flag visitors against Watch Lists such as each states' Sex Offender Database or the Government Denied Parties Database to screen against unwanted visitors.

At organizations with unattended lobbies, our ID badge system can operate in a kiosk mode for visitor self registration.

EasyLobby visitor badge software has a host of additional features that allow you to customize the system to fit  your specific needs and requirements. It's also extremely feature rich but easy to use and install.

So the next time you pick up a pen to sign a guest book at an organization, be sure to explain to them there's a better approach to visitor sign in. Tell them about EasyLobby.

Find out more by scheduling a free, personalized online web conference, which will allow you to learn much more about the many features of our visitor registration.

In about 30 minutes we will demonstrate the visitor management solutions that you can put into place in your organization.

School Visitor Software Used at College Campuses

Tuesday, February 22, 2011 by John Murzycki

ID Badge System at Colleges and Universities

Visitor security at college campuses starts with knowing who is visiting buildings on campus.

Professional visitor management by EasyLobby has the ability to monitor and control all guests who are entering college buildings, especially college residence halls.

EasyLobby visitor software can track students visiting another student's residence hall, and track and provide a visitor ID badge to all non-student visitors.

Our screening of visitors on each states' registered sex offender database can also be used to flag those visitors at the time of guest sign in.

Although visitor registration is one of several security issues that college campuses need to address, it is certainly an important one. Because most college campuses are an open environment with many people moving about the campus, it is critical that school officials monitor visitor and guest activity at all campus facilities.

Visitors to campus should be required to wear a school visitor badge that was issued when they were checked at a visitor registration station.

Protecting students, administrators and faculty requires that educational institutions develop visitor management techniques that are secure, yet work smoothly and easily at a variety of campus facilities.

EasyLobby visitor management software is currently in use at many of the nation's leading educational facilities.

For more information about using visitor badges at colleges and universities - or at your particular environment - register for a free, personalized online web conference.

Food Distribution Organizations Protect Facilities with Visitor Systems

Monday, February 14, 2011 by John Murzycki

ID Badge System

Industries such as food distribution companies are required to monitor and track all visitors who enter their facilities. These requirements are the result of FDA regulations on the protection of the nation's food supply under the Bio-Terrorism Rule.

As a result of Federal Regulations, food distribution companies frequently will use EasyLobby for their visitor tracking software.

In many of these facilities EasyLobby is the visitor system used at both the corporate and the distribution facilities. Our visitor software is often used to monitor the arrival and departure of trucks and drivers in the distribution facilities.

Consequently, EasyLobby visitor management plays a major role in helping food distribution companies effectively comply with these regulations by recording and reporting on all guest sign in activity and recording exactly what individuals and vehicles have entered or left a facility.

EasyLobby's visitor log is able to track all visitors and make visitor sign in and check out data readily accessible in reports.

An added benefit of using EasyLobby visitor management software at food distribution facilities is a reduction in costs. By monitoring the exact arrival and departure of each truck, these organizations are able to often dramatically reduce detention fees typically charged by third-part shippers for drivers that were delayed at the facilities.

Using our visitor registration, the distribution facility is able to challenge any unwarranted detention fees.

Read our case study about how EasyLobby ID card software has helped a national food distributor.

In addition to food distribution, EasyLobby visitor management solutions are used in a wide variety of industries.

Creating a Watch List in Your Visitor Tracking Software

Monday, February 7, 2011 by John Murzycki

visitor badges

EasyLobby visitor management software can alert you in seconds of a guest sign that  someone is on your internal or external Watch List.

Internal Watch Lists are those that you have created to notify lobby attendants (and other specified employees) of individuals who deserve special attention - either good or bad attention. Board of Directors and strategic partners are two examples of good attention. Competitors, and dismissed employees might be examples of negative Watch Lists.

Our badge software will alert your lobby attendants to those people on your internal watch lists, and allow them to take appropriate action.

External Watch Lists such as each states' sex offender database and the Government Denied Parties database are both offered by EasyLobby's visitor software.

An email alert can also be sent to any specific party, such as a security officer, if an attempted entry is made by anyone on a Watch List.

Using Watch Lists as part of your EasyLobby visitor registration allows you to control access to your facilities. You will know who is in your buildings and the reason why.

Watch Lists are part of a comprehensive visitor system that monitors and controls entry of all guests to your facilities. Unlike a paper guest book for visitor sign in, a Watch List can easily be created with badge ID software.

A visitor management lobby system such as EasyLobby's can provide you with a host of additional features that will help you improve how you are managing visitors to your buildings.

For more information, register for a free, personalized online web conference.

In about 30 minutes we will demonstrate the features of our visitor passes that will help you improve visitor security and enhance your reputation as an organization that cares about its guests and its employees.

Schools Abandon Guest Sign In Books in Favor of Visitor Tracking Software

Tuesday, January 11, 2011 by John Murzycki

Badge Software for Schools

Many public and private K-12 schools use EasyLobby visitor management software to protect students and administrators from unwanted visitors and to professionally manage guests.

As one of the most economical ways for a school to dramatically improve visitor security, a visitor system allows the school to identify and monitor all visitors and provide visitor badges to all guests, contractors, and volunteers in the school.

School administrators understand that in today's world they must limit entry as well as monitor entry of all non-students and non-school personnel. Visitor software allows them to apply a visitor id badge to all guests and to flag unwanted visitors.

EasyLobby visitor management helps them flag unwanted visitors by using a watch list feature. This can include external watch lists such as individuals registered in each state's sex offender database. EasyLobby will alert lobby attendants and administrators when someone on this list tries to check into the building within seconds of visitor sign in.

At schools using EasyLobby badge ID software, all guests are required to wear a school visitor badge and to verify their identity during check in.

School visitor software from EasyLobby also includes these special features used by K-12 schools:
  • Expediting visitor check in and out during busy morning and end-of-school day times by using barcodes on visitor passes.
  • Tracking the hours of school volunteers and other helpers, as well as contractors working at the school, by badging them at an EasyLobby station.
  • When students leave the building - either because of lunch breaks, free periods or field trips - scanning their student ID cards with EasyLobby visitor software to track who has left the building.
EasyLobby is used at hundreds of K-12 schools to provide a professional lobby system, improve security and monitor exactly who is in the school.

A Visitor Registration System That Can Also Track Assets

Monday, January 10, 2011 by John Murzycki

visitor management system to track assets
Many people who learn about EasyLobby visitor monitoring software are surprised to discover that they can use it to track assets in their organization.

Most people know that our visitor registration system allows any organization to effectively manage groups of visitors - letting you know who is in your facility and the reasons why, while also keeping unwanted visitors out.

What's less well-known is the fact that they can use the same visitor management system to track equipment taken out of their facility, or moved within their buildings.

The advantages are that you deter theft and are able to easily locate key pieces of equipment.

For example, a group of employees gather in a conference room for a PowerPoint presentation. Just before the meeting the presenter goes to retrieve the projector, but discovers it missing. Nobody knows who used it last or where it is.

Using EasyLobby's visitor registration software, you keep the projector, and other shared equipment, in a location near the receptionist's desk. Whenever that equipment is used, it's logged out using the same EasyLobby visitor control software that's used to track visitors.

Now the lobby attendant knows exactly who used the equipment last and where it was used and whether the person returned it.

When someone takes a laptop or other piece of equipment home, the lobby attendant can also log it into the system, just as the attendant would be checking in a visitor. So you know every piece of equipment that is removed from your site and who removed it.

It's nice to know that EasyLobby visitor management solutions can be used to provide effective visitor management security. But it's also comforting to know that you can use it to track important assets in your facilities.

So whether it's managing visitors more effectively, providing professional lobby management, or tracking assets, you can do it all with your EasyLobby system.

Discover more about the visitor management techniques that you can use in your facilities by registering for a free, personalized online web conference.

In about 30 minutes we will demonstrate the capabilities of our visitor monitoring software that are most effective for your particular needs.

Protecting K-12 Students with Visitor Monitoring Software

Thursday, January 6, 2011 by John Murzycki

Visitor Management in Schools

The Union Gap School District in Union Gap, Washington is one example of a K-12 school that protects its students from unwanted guests by using EasyLobby's visitor registration software.

The school reported how they are protecting their students from possible predators. They have improved their visitor management security by using EasyLobby.

One of the reasons the school visitor software was installed was to alert lobby attendants to any visitors who are on each states' sex offender database.

To keep their students safe from sexual predators, the Union Gap School uses EasyLobby's visitor registration system to register all guests entering the school. Everyone must present a valid photo ID. They are logged into the visitor control software and are provided with a school visitor badge.

Upon registration, if the guest is listed on any states' sex offender database, a warning will alert the attendant.

"If it protects one child it's well worth the money that we spent on it," said Kurt Hilyard, Union Gap School District Superintendent.

EasyLobby Secure Visitor Management (SVM) is used at hundreds of K-12 schools throughout the country to improve visitor security and to better manage visitors to their facilities.
