One of the benefits of using EasyLobby badge software is that the same system you use for visitor registration can also be used to track the time and attendance of employees, contractors, volunteers, or any other personnel.

It's a relatively easy process to use your visitor management software for time and attendance.
 
All you need to do is to import all the employee names into the EasyLobby visitor software. There are several ways to accomplish this step. Contact our technical support center if you need assistance with this at support@easylobby.com.

You then design an ID badge template that includes a barcode for all those you wish to record the time and attendance. The barcode will be used to scan them in and out of the facility.

Or  you can provide them with a proximity card which, when used in conjunction with EasyLobby's access control integration, will allow those individuals access to locked doors, elevators or turnstiles controlled by the access system.

The time that the employee or guest is onsite is then recorded in the EasyLobby electronic visitor management system. You are able to either access a report with the details of check in and check out times, or you can export the data using a variety of formats into other systems.

Our time and attendance feature can be used for all employees, or to record the time for temporary employees and contractors. You may be able to achieve considerable savings by documenting the time and attendance of outside contractors and to issue payments based on the actual onsite time.

One of our customers in the food transportation business has used this feature to avoid unwarranted delay fees charged by other trucking companies who in the past had claimed that it took longer to load or offload materials in their facilities.

Another EasyLobby customer, a large electric utility, realized considerable savings by closely monitoring the time and attendance of all contractors working at their generating facilities during planned and unplanned outages.

Programmable alerts may sound complicated - as if you need to understand how to program or write software. But that's hardly the case. In fact they are very easy to incorporate into your EasyLobby visitor system.

This visitor software feature adds a great deal of flexibility to managing visitors.

Programmable alerts can be used in conjunction with issuing visitor badges during visitor registration. They permit you to assign a specific value to visitor action during guest sign in, and to automatically notify your lobby attendants that a specific action should take place.

There's a whole range of values and corresponding actions that you can assign. But the real benefit of this badge software feature depends on how you use it in your environment. Here's one example, but keep in mind that you can use it in much different scenarios.

In this example let's say you have four different areas in your building that visitors are allowed access. Each area is defined as a 'clearance' in one of the lobby system fields. One of these areas, let's call it the manufacturing area, has a requirement that all visitors must wear a hard hat for safety reasons.

In the alert menu of the visitor registration system you can include a message that reads, "Must wear hard hat" or some other words to that effect. When a visitor enters the building for a visitor pass and is checked in at an EasyLobby station, the operator selects the clearance that pertains to an area of the building.

If the manufacturing area is selected, an alert will appear warning the operator that the visitor must be provided with a hard hat.

Again, this is just one very specific example of a programmable alert. There are many different variables that can be used to define values and actions that you want to take to ensure professional visitor management at your organization.

Rules-Based Approval - An Important Feature of the EasyLobby Visitor Registration System

One of the more interesting and powerful features in the latest version of EasyLobby visitor software is rules-based approval. It's part of the web-based software that allows employees to pre-register visitors.

The capability provides administrators with a great deal of flexibility in deciding the approval process for visitors that are pre-registered by employees.

It's this type of flexibility that allows EasyLobby visitor registration software to be customized for your specific requirements.

Our pre-registration software for employees is called eAdvance. It's one of the options of our Secure Visitor Management (SVM) main application software. eAdvance allows employees to pre-register guests they know will be arriving, alleviating congestion at the front desk by having the guest information already complete.

The rules-based feature allows you to decide how those pre-registered guests are approved by others in the organization, and what those rules are.

Among the visitor system rules that you can choose to establish are:
  • The person or persons who need to approve a visitor badge being issued to a pre-registered guest.
  • Any specific category of visitors that need to be approved for entry.
  • Whether any of the user-defined fields are subject to specific approvals before a visitor pass is issued to that guest.
An example of this rules-based approval is a pre-registered guest who is a contractor and does not have self-insured documentation on file. In this case, a user defined field has been checked concerning the self-insured documentation for contractors. You can apply a rule that when this occurs, a specific person needs to approve this contractor for entry.

You can see by this degree of customization that it provides you with a great deal of control over how you are managing visitors and approving them for entry.

Let's look at another specific example as a comparison. You may want to apply a rule for pre-registered visitors who are a foreign national and they do not have passport identification. As in the previous example, you can apply a visitor registration rule specifying the approval process that is required.

You can see by these brief examples that the rules can be varied and can cover many different circumstances for the approval of pre-registered visitors. Depending on your needs and concerns, it allows you to better manage guest sign in and decide who and when these guests will be approved for entry.

Healthcare Facilities Depend on EasyLobby Badge Software

A case in point is the Connecticut Children's Medical Center, which is one of the many hospitals using visitor registration to improve how they are managing visitors.

Because visitor passes are the most visible aspect of your visitor registration system, you want to be sure that they reflect positively and contain the type of information that is most useful to you in identifying visitors at your facilities.

Consequently, you want to be sure that you give some thought to the design and content of a visitor ID badge.

Here are a few customization ideas to consider.

Create a different design for each category of visitor. For example, the a visitor pass for a contractor will be different from the pass of a temporary employee or a weekend visitor. This allows your employees to visually identify the type of visitor in the building.

Include a barcode in the badge templates so that it automatically prints on each visitor badge. This technique is particularly helpful in busy lobby because it allows the lobby attendant to quickly check out the visitor with a simple scan of the barcode using a barcode reader.

Your ID badge template can be set up to print a different color visitor badge for each day of the week. This is a good way to easily identify whether badges have been issued that day or a previous day.

Also include a time stamp of the date and time that the visitor checked in as a way to see if the badge was issued that day.

Print a photo of the visitor on the visitor badge, captured by a scan of their license during visitor registration, or captured with a web cam.

You also may want to consider including the photo of the employee that the guest is visiting. This allows employees to easily see who is responsible for that visitor.

Including the logo of your company on the badge is a good way to reinforce your branding.

During an emergency such as a fire or evacuation of the building, it's valuable to know the visitors that had entered the building. By using a visitor system rather than a paper guest book for visitor sign in, with one click of the mouse you are able to call up a current visitor report and either print it or send it to others such as emergency responders.

Having a manifest of all visitors and being able to transmit that information immediately is vital.

Alerts can be used for a number of different reasons to notify you or others of specific visitor action or to help you better direct and manage visitors. Alerts allow lobby attendants to take certain actions based on who is checking in.

Let's look at a few examples of alerts.

One example may be to notify your lobby attendant that a contractor needs to complete a drug test, watch a safety video, or complete an application or other paperwork after a specific number of visits.
